Job Description: Site Administrator/Receptionist The receptionist/site administrator works under the direction of site human resource team and is responsible for providing front desk reception, project administrator, and administrative support to site.
Responsibilities Reception Answer phones and greet customers in professional, courteous, and confidential manner
Create an inviting entry area and be a host for customers and visitors
Ensure security compliance with guests/customers/vendors/supplier visits
Manage & direct calls as appropriate and route adequate messages when required
Distribute incoming/outgoing mail, couriers, etc.
Order meals/drinks per request, prepare meeting rooms for business or team meetings, prepare utensils/tableware/meeting materials as required, maintain/manage HQ kitchen and its inventory
Perform other duties/responsibilities as required by direct leader/Director of Human Resources
Employee Communications Support and assists with developing employee communications for the site
Assist site in maintaining current and relevant employee communication
CCTV monitor and bulletin boards throughout the site as directed by the Human Resources team
Support communication needs/deliverables for employee engagement events, recognition, and internal communications as required
Perform other duties/responsibilities as required by direct leader/Director of Human Resources
Maintains order in front lobby and keeps an adequate inventory of office/HR supplies, safety cabinet supplies, and general site ordering/purchasing support as needed.
Oversee and coordinate maintenance and repair of office equipment
Provides administrative support to site management team and human resources as needed
Ensures adherence to company ITAR compliance, security, and safety procedures
Assists with managing badge, building access, locker, and smock administration, as well as tool assignments for employees, new hires, and terminated workers.
Participate in the site's 'culture' group, assisting in the planning,
preparation, marketing and execution of onsite meetings celebrations or events
Perform other duties/responsibilities as required by direct leader/Director of Human Resources
Qualifications Communications or Marketing education background highly preferred
Demonstrated learning agilities in self-awareness, self-regulation, mental agility, people agility, change agility, ongoing results improvement agility Demonstrated professionalism and confidentiality
Excellent proper English communication and proofreading skills, both written and verbal
Strong computer skills with a strong desire to learn (Excel, Word, PowerPoint, Canva, Outlook, and other technologies)
Professional appearance and approach Projects professional demeanor and builds trust by maintaining increasing professionalism, confidentiality, and improvements to work area
Organized, detail oriented, self-motivated, and able to work well under pressure Able to work independently, as well as part of a team Able to multi-task and demonstrate initiative
Working Environment Physical Demands As expected within a typical office type environment
Mental Demands Capable of accepting and completing work assignments with minimal supervision in a highly motivated manner, quick paced and high-pressure situations
Working Conditions Professional appearance and presentation.
The working environment is generally clean; however, the incumbent may be exposed to occasionally dust. The incumbent is required to wear appropriate safety clothing and gear while working in safety sensitive areas. Otherwise, office/business casual attire is appropriate
Reporting Relationships: Reports to: Director of Human Resources
In compliance with pay transparency requirements,
the anticipated starting pay for new hires for this position is between $20-$23 per hour. Full time employees are also eligible for performance based bonuses and benefits. This is not a guarantee of compensation or salary, as a final offer amount may vary based on factors including but not limited to experience, education, location, and shift. The specific programs and options available to an employee may vary depending on the date of hire, schedule type, and hours worked.
