Leads come in from the website, referrals, quizzes, and the team. Our CRM only works if people are tagged correctly, duplicates are gone, and campaigns actually fire when they should.This role owns that last mile of database hygiene. You keep records clean, tags consistent, and automations toggled on (or off) at the right stage — before a drip goes out to the wrong person, or a new lead sits untagged.This is a hands-on execution role, not a strategy-only CRM manager job. If you're organized, reliable, and you like keeping a list tight, you'll do well here.## What you’ll do* Run a daily duplicate sweep (same phone, email, or name variants) and merge records without wiping history* Apply a consistent tagging standard: source, product (purchase / renewal / refinance / equity), assigned broker, and status* Keep pipeline stages honest — no “new lead” sitting for weeks with no next action* Turn action plans and campaigns on at the right point in the process (new lead, pre-approval, committed, funded, nurture, realtor partner)* Turn them off when they shouldn't fire (closed lost, do-not-contact, funded on the wrong drip)* Flag real inquiries and hot people to the assigned broker the same day* Leave a short audit trail: duplicates merged, untagged leftover, campaigns currently live## The workflow1. 1Morning pass: recent records from web forms and referrals get an owner, tags,
and the right campaign2. 2Duplicate and bad-data pass so the same person isn't in the system twice3. 3Campaign check against where files actually are — toggles on or off before they need to run4. 4Same-day note to the team on anything that looks like a live lead or a broken automation5. 5Weekly: a short database-health note (dupes merged, untagged leftover, campaigns live)## What we’re looking for* Hands-on CRM experience — Follow Up Boss is ideal; HubSpot, Salesforce, or GoHighLevel is transferable* Comfortable merging records without wrecking notes, tags, or history* Extremely reliable and self-managing — this work fails quietly if a day gets skipped* Clear, plain-language written updates — no fluff reporting* Organized, detail-oriented, and easy to communicate with## Nice to have* Mortgage or real estate pipeline knowledge* Follow Up Boss action plans, custom fields, and smart lists* Familiarity with Broki or Newton Velocity## Hours & logistics* Roughly 8–10 hours per week — about 1–2 hours most weekdays* Flexible on when you work, as long as the daily pass happens and campaigns are flipped before they need to run* Mostly remote, with occasional in-person days if needed* Must be based in (or near) British Columbia* Part-time employee position with room to grow as the database and processes scale## How to applySend us:* A short note on why this role fits you* 1–2 examples of CRMs you've cleaned or administered* Your availability and hourly rate expectationEmail
