Your Mission:
We are seeking a detail-oriented and organized Scales Operator/Administrative Assistant to join our operations team. In this role, you will oversee the scale house during operating hours while providing administrative support that ensures the smooth and efficient day-to-day operation of the facility.
Here’s what an ordinary day of work might look like:
Scaling trucks in and out of the facility, verifying weights, and ensuring accurate scale readings and documentation
Directing truck traffic according to the site’s traffic control plan and established operational procedures
Preparing and maintaining required scale reports for customers and municipal partners, ensuring accuracy and timely delivery
Monitoring compliance with operational requirements, including hours of operation outlined in Environmental Compliance Approvals (ECA) and customer agreements
Ensuring all contractors sign in, review applicable safety documentation, complete acknowledgements, and are properly documented
Acting as a key point of contact with third-party dispatch teams regarding truck arrivals, material status, and daily operational updates
Tracking and documenting material movement on a daily, weekly, and monthly basis, including tonnage and product flow throughout the facility
Coordinating semi-annual third-party scale calibrations and maintaining related records
Creating, organizing, and maintaining physical and electronic filing systems
Providing administrative support to the operations team and assisting with day-to-day office functions
Maintaining contractor records, including WSIB/WorkSafe certifications and liability insurance documentation
Tracking employee training records in E-Compliance and communicating upcoming or overdue training requirements
Recording and documenting community concerns and complaints in E-Compliance as required
Assisting with the purchasing of consumable items, including order placement, receiving, shipment tracking, and purchase order follow-up
Maintaining historical financial and operational records through accurate filing and document management
Supporting audit activities by retrieving invoices and other historical documentation as required

This job is for you if you:
Have completed post-secondary education in Accounting, Business, or a related field
Bring a minimum of 2 years of experience in an administrative, scale operation, accounting, or similar role
Possess intermediate to advanced proficiency in Microsoft Office, particularly Excel and Word
Have knowledge of general accounting principles, which would be considered an asset
Demonstrate exceptional attention to detail and a high degree of accuracy in your work
Are able to effectively manage multiple priorities and adapt in a fast-paced environment
Possess strong organizational and time management skills
Communicate clearly and professionally, both verbally and in writing
Maintain strict confidentiality when handling company information and communications
Consistently meet deadlines while producing high-quality work
Hold a valid driver's license
Are comfortable working with a variety of internal and external stakeholders, including contractors, customers, and dispatch teams
Have experience maintaining records, tracking documentation, and supporting compliance-related activities
Compensation package:
Hourly Rate – 27.20/hour CAD

About the salary range: A reasonable estimate of the pay rate is 27.20/hour CAD at the time of this posting. Please note that the range details above reflect the base pay only and does not include our competitive bonus program and benefits that we offer.
