THE ROLE
Our client is a well-established professional services organization seeking an experienced Director, Operations & Legal Administration to provide strategic and operational leadership to its Vancouver office.
Reporting to senior operational leadership and working closely with practice group leaders, lawyers and the broader management team, the Director will oversee the overall administration and performance of the Vancouver office. This includes leadership of legal support functions, office facilities and services, workplace initiatives, hospitality, events and operational processes.
The Director will lead a high-performing team of legal assistants, paralegals, administrative staff and operational leaders while acting as a key liaison between lawyers and support teams. This individual will be responsible for driving operational excellence, employee engagement, service delivery, talent development and continuous improvement across the office.

RESPONSIBILITIES
- Oversee the day-to-day operations of the Vancouver office, ensuring effective coordination, service delivery and operational efficiency.
- Provide strategic leadership to legal support teams, including legal assistants,
paralegals and administrative professionals.
- Partner closely with lawyers, practice group leaders and legal support leadership to anticipate business needs, align resources and maintain exceptional service standards.
- Act as a trusted liaison between lawyers and support teams, facilitating communication, resolving challenges and balancing operational and practice requirements.
- Monitor workload distribution, capacity, productivity and utilization to maintain appropriate staffing and support levels.
- Identify opportunities to streamline workflows, improve processes, increase productivity and establish consistent best practices across teams.
- Translate organizational priorities into operational plans while anticipating risks, staffing requirements and future resource needs.
- Develop and implement operational policies, procedures and business solutions while effectively leading teams through organizational change.
- Oversee the Vancouver office's annual operating budget, including planning, forecasting, expense management and financial performance monitoring.
- Partner with Finance and senior leadership to identify efficiencies, manage budget variances and maintain strong fiscal accountability.
- Support recruitment, onboarding, training, performance management and succession planning for administrative and legal support teams.
- Coach and mentor team leads and managers to strengthen leadership capability and support employee development.
- Lead and support organizational initiatives, including system implementations, technology adoption, workflow automation and process improvements.
- Foster a culture of professionalism, accountability, collaboration, employee engagement and exceptional client service.
REQUIREMENTS
- 5+ years significant experience in operations, legal administration or professional services leadership, with law firm experience considered a solid asset.
- Demonstrated experience leading and developing legal support, administrative or professional services teams.
- Strong people leadership capabilities with experience in coaching, mentoring, performance management, talent development and succession planning.
- Proven ability to build trusted relationships and partner effectively with senior leaders, lawyers and other key stakeholders.
- Strong operational management experience, including workforce planning, resource allocation, process improvement and service delivery.
- Experience with budget planning, forecasting, expense management and financial oversight.
- Demonstrated ability to identify operational challenges and implement practical solutions that improve efficiency and productivity.
- Experience leading teams through organizational change, technology implementation and process transformation.
- Strong communication, problem-solving and relationship-management skills with the ability to navigate competing priorities and stakeholder needs.
- A strategic and forward-thinking leadership style combined with a hands-on approach and a strong commitment to operational and client service excellence.
