Department: Clinical Services
Reporting to the Vice President, Clinical Services & Chief Nursing Executive, the Administrative Assistant provides a broad range of confidential and sensitive administrative support to the Vice President and the Clinical Services portfolio. Key responsibilities include coordinating executive and committee activities, supporting special projects and events, managing information, and contributing to the efficient day-to-day operations of clinical programs.
We are seeking a proactive, forward-thinking individual who anticipates needs, brings innovative ideas and takes initiative to improve administrative processes. The successful candidate will contribute to the portfolio’s quality improvement and strategic priorities through strong organization, collaboration and follow-through. An interest in data management, reporting and the effective use of technology is important, along with a commitment to streamlining workflows, improving the accuracy and usefulness of information, and helping clinical leaders work efficiently.
QUALIFICATIONS
Post-secondary education in office or medical administration, with graduation from a recognized secretarial or business program, and a minimum of two years of related experience is required
Clerical experience in a health care setting is required
Proficiency with Microsoft Office applications, including Word, PowerPoint and Excel, is required
Keyboarding speed of 60 words per minute with 95% accuracy is required
Basic knowledge of medical terminology is an asset
Strong verbal and written communication skills are required
Excellent organizational and time management skills
Ability to prioritize multiple demands, maintain accuracy under pressure and meet tight deadlines
Ability to work independently with minimal supervision and adapt quickly to changing priorities in a quick-paced environment
Ability to provide effective support to Managers, Coordinators and Clinical Nurse Educators across multiple work patterns
Highly flexible and adaptable, with the ability to respond effectively to changing needs and priorities
Demonstrated commitment to the safety of patients, visitors, volunteers and fellow workers
Demonstrated ability to support and contribute to a culture of safety and the prevention of adverse health events within the organization
Bilingualism (Advanced level English/French) is an asset
