About the Opportunity
Our client is a major Canadian retailer with a diverse portfolio of well-known brands and 100+ retail locations across Canada. They are looking for a detail-oriented PropertyManager – Commercial Lease Administration to join their team and take ownership of the day-to-day management and administration of a large commercial real estate portfolio.
This is a highly analytical role with a strong focus on commercial lease management, lease administration, financial tracking, and landlord relationships. The ideal candidate will have experience working on the tenant/retailer side of commercial real estate, managing a large portfolio of retail locations and ensuring the organization is fully leveraging its lease rights and obligations.
Key Responsibilities
- Manage and administer a portfolio of 100+ commercial retail leases across multiple brands and locations.
- Review, interpret, and manage commercial lease agreements, amendments, renewals, assignments, and related documentation.
- Monitor critical lease dates, including renewals, options, expiries, rent increases, and other contractual obligations.
- Maintain accurate lease data and ensure all portfolio information is current and properly documented.
- Review and validate landlord invoices, operating costs, property taxes, rent adjustments, and other occupancy-related charges.
- Analyze CAM/operating cost reconciliations, annual escalations,
and other landlord charges to identify discrepancies and ensure compliance with lease terms.
- Track and manage tenant obligations and landlord obligations throughout the lease lifecycle.
- Work closely with landlords, property managers, legal teams, finance, accounting, construction, and internal business stakeholders.
- Support lease negotiations by providing relevant lease information, financial analysis, historical data, and contractual details.
- Assist with lease renewals, extensions, relocations, closures, assignments, and other portfolio transactions.
- Identify opportunities to reduce occupancy costs, recover overcharges, and improve overall lease administration processes.
- Prepare regular portfolio reports, financial analyses, lease summaries, and management presentations.
- Maintain detailed records and documentation for the entire commercial lease portfolio.
- Use Excel extensively to analyze portfolio data, track financial obligations, identify trends, and support decision-making.
- Ensure compliance with internal processes, lease requirements, and applicable company policies.
Qualifications & Experience
- 3+ years of experience in commercial real estate, property management, lease administration, or a related field.
- Strong preference for candidates with tenant-side commercial lease experience, particularly within retail, multi-site, or corporate environments.
- Experience managing a large portfolio of commercial leases is highly preferred.
- Strong understanding of commercial lease structures,
including base rent, additional rent, CAM/operating costs, property taxes, escalations, options, and renewals.
- Experience reviewing and interpreting commercial lease agreements and amendments.
- Advanced/high proficiency in Microsoft Excel is mandatory. Candidates should be comfortable working with large datasets, financial calculations, reporting, formulas, and data analysis.
- Strong analytical and numerical skills with exceptional attention to detail.
- Excellent organizational and time-management skills with the ability to manage multiple deadlines across a large portfolio.
- Robust communication and relationship-management skills, particularly when dealing with landlords and external property managers.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Experience in a retail or multi-location corporate environment is an asset.
- Post-secondary education in Real Estate, Business Administration, Finance, or a related discipline is an asset.
What We're Looking For
The successful candidate will be someone who enjoys working with contracts, numbers, and detailed portfolio data and understands the commercial realities of operating a large retail footprint.
You should be comfortable moving between a lease agreement, an Excel analysis, a landlord conversation, and an internal finance discussion — often within the same day.
Tenant-side retail lease administration experience is strongly preferred, particularly for candidates who have managed a high volume of stores and understand the complexities of commercial leases from the retailer's perspective.
Compensation
$70,000–$80,000 per year, based on experience and qualifications.
