Job Overview
The District of Fort St. James is seeking a full-time, permanent, Legislative Assistant. The successful candidate will report to the Corporate Officer. The Legislative Assistant is responsible for assisting the Corporate Officer with council meetings and agenda packages, facilitating meeting invites, meeting minutes, research, community engagement, completing reports, registration and travel arrangements for elected officials and staff, assisting with the Front Counter, and some accounts payable.
Responsibilities
· Provides administrative support to the Corporate Officer, including items of a complex and confidential nature
· Assists the Corporate Officer with the administration and coordination of Council, committee, dignitary, and other meetings, including agenda preparation, meeting logistics, and attendee communications
· Distributes agenda packages and supporting materials; coordinates meeting facilities, technology, and Council Chamber set up for in-person and virtual meetings
· Liaises with delegations, consultants, elected officials, and staff regarding presentations on meeting-related matters
· May be required to attend Council meetings and take meeting minutes
· Responsible for drafting correspondence, research, editing and formatting reports
· Coordinate public notifications required by legislation
· Assist with public engagement
· Assist with Freedom of Information requests and Privacy Impact Assessments
· Book and coordinate registration and travel arrangements for elected officials and staff
· Organize, maintain,
and file records and documentation within the District’s records management system, ensuring accuracy, accessibility and compliance with established procedures and legislation
· Assist with drafting bylaws and policies
· Assist with front counter
· Provide general office administration assistance
· Assist the Finance Department with Accounts Payable
· Other duties as assigned
Requirements
· Diploma/Certificate from a post-secondary administrative program, at least two (2-3) years of related experience, or a combination of equivalent experience and education is essential
· Experience with minute taking is an asset
· Knowledge of the Community Charter and Local Government Act is an asset
· Knowledge of and experience in a local government setting are assets
· Ability to establish working relationships with elected officials utilizing discretion and good judgement.
· Ability to work with minimal supervision
· Ability to keep information confidential
· Experience with Microsoft Office
· Strong verbal and written communication skills
· Class 5 Driver’s License

Pay: From $35.56 per hour
