Job Description:
The Kinbasket Water & Sewer Company (KWSC) is seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of the organization. Reporting to the KWSC Manager, this position provides administrative and operational support to the Operations Team by coordinating communications, managing records and documentation, scheduling activities, supporting meetings, and assisting with a variety of administrative functions. The Administrative Assistant serves as a key point of contact between the Operations Team, contractors, service providers, customers, and community stakeholders. This position plays an important role in ensuring that administrative processes run smoothly and efficiently while supporting the delivery of reliable water and sewer services.
Responsibilities:
Administrative Support
- Provide day-to-day administrative support to the KWSC Manager and Operations Team.
- Receive, organize, and prioritize incoming work requests and service inquiries.
- Track operational activities, deadlines, action items, and follow-up requirements.
- Prepare correspondence, forms, notices, reports, and other administrative documents.
- Provide administrative support for projects, operational initiatives, and special assignments.
- Maintain confidentiality when handling employee, financial, and operational information.
Communication & Customer Service
- Serve as the primary point of contact for incoming phone calls, emails, and general inquiries.
- Respond to inquiries and direct requests to the appropriate team member.
- Receive, distribute, and maintain correspondence and organizational communications.
- Support effective information sharing among staff, contractors, and stakeholders.
- Provide professional, courteous, and responsive customer service.
Scheduling & Coordination
- Coordinate and schedule work tasks and operational activities.
- Schedule meetings, inspections, appointments, training sessions, and other activities.
- Coordinate conference, workshop, and training registrations for staff.
- Arrange travel, accommodation, vehicle rentals, and related logistics as required.
- Assist in coordinating calendars and operational priorities for the KWSC team.
Records & Documentation Management
- Maintain accurate and organized filing systems and records.
- Input and manage invoices, receipts, and administrative documentation.
- Ensure records are current, accessible, and properly maintained.
- Support data entry and document management processes.
- Maintain administrative tracking systems and operational records.
Meeting Coordination
- Prepare agendas, meeting packages, notices, and supporting documentation.
- Attend meetings and prepare accurate meeting minutes.
- Distribute meeting minutes, action items, and supporting materials.
- Coordinate meeting logistics and follow-up activities.
Accounts Payable & Receivable Support
- Process invoices, receipts, payments, and deposits while maintaining accurate financial records.
- Assist with accounts payable and accounts receivable activities, including invoicing and tracking
outstanding balances.
- Prepare and organize supporting financial documentation and reports.
- Work with management and finance staff to ensure financial information is processed
accurately and on time
Team Support
- Work collaboratively with the Operations Team to support daily operations and organizational goals.
- Provide support during busy operational periods and special projects.
- Contribute to a positive, productive, and team-focused work environment.
- Perform other related duties as required.
Qualifications:
- High school diploma supplemented by administrative training, office administration
certification, or an equivalent combination of education and experience.
- Minimum two years of administrative, office coordination, or clerical experience.
- Experience working with, or knowledge of, Indigenous organizations and communities.
- Proficiency with Microsoft 365, including Word, Excel, Outlook, Teams, and PowerPoint.
- Strong organizational, record management, and document control skills.
- Experience preparing meeting agendas, minutes, reports, and correspondence.
- Excellent communication, customer service, and interpersonal skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Valid BC Class 5 Driver's Licence may be required.

Pay: $24.47-$28.17 per hour
