About The Role:
Civida is searching for several Leasing & Tenancy Coordinators to join our District Housing Team. This position supports tenants throughout their housing journey, from initial housing consideration to the end of tenancy. The role coordinates key tenant lifecycle activities, including applicant selection from the priority waitlist, leasing, move-in preparation, income reviews, rent adjustments, arrears support, tenancy changes, and move-out processes.
Working closely with tenants, partners, on-site teams, and internal departments, the Leasing & Tenancy Coordinator promotes Civida's Sustainable Tenancy Framework while ensuring compliance with organizational policies, procedures, and legislation. The role supports district operations through tenant communication, file management, inspections, home visits, leasing administration, and move-in and move-out coordination, while helping address barriers to successful housing outcomes. Salary: $60, 683.41 to $73,703.82 per annum
Key Responsibilities:
Leasing & Tenancy Management
- Complete unit showings, issue offers, and lease units to applicants in accordance with waitlist procedures, organizational policies, and applicable legislation.
- Review, assess, prioritize, and maintain applicant and tenant files, ensuring information is accurate, complete, and current throughout the tenancy lifecycle.
- Prepare, explain, and execute leases and related documentation, ensuring tenants understand their obligations under the Residential Tenancies Act, lease agreements, and organizational policies.
- Conduct move-in activities, including inspections, key handovers, unit walkthroughs, and orientation to property amenities, procedures, and expectations.
- Coordinate tenant transfers, including transfer inspections and move arrangements, in collaboration with tenants and operational teams.
- Complete move-out activities, including inspections, payment arrangements for outstanding balances, and abandoned-unit processes, as required.
Account Administration and Reconciliation
- Generate reports and complete annual and interim income review processes in accordance with organizational policies, procedures, and legislative requirements.
- Review and process tenant and file information that affects eligibility, tenancy status, or rent calculations, ensuring accurate records and documentation.
- Work collaboratively with tenants to address arrears, balances, and payment concerns while supporting successful tenancy outcomes.
- Administer tenancy-related notices and processes, including Notice-to-Vacate (NTV) requirements and ineligibility notifications, as required.
- Investigate account and rent payment discrepancies and take appropriate action in accordance with established procedures.
- Respond to tenant inquiries and provide information regarding tenancy, rent, eligibility, and account-related matters.
Tenant Service & Operational Support
- Support administrative processes, phone and front office coverage as required.
- Complete and process transfers inspections in accordance with policies and procedures.
- Prepare and distribute correspondence, reports, and other materials as directed. Including taking photos and uploading into the system.
- Collaborate with internal teams and community partners to identify and reduce barriers to service delivery and successful housing outcomes.
- Maintain ownership of assigned unit keys and fobs required for viewings, inspections, and move-in activities, including programming door fobs as required.
Qualifications:
- Completion of a high school diploma and four years of related experience. Equivalent combinations of education and experience will be considered.
- Access to a personal vehicle for work-related travel (approximately 60% travel required). A valid driver's license and proof of insurance are required.
- Knowledge of leasing agreements, contract language, the Residential Tenancies Act (RTA), and applicable housing, privacy, and human rights legislation.
- Knowledge of private rental market practices, CMHC rates and indicators, and rental housing trends.
- Knowledge of trauma-informed practices and experience working with vulnerable populations.
- Strong communication, interpersonal, and relationship-building skills,
including the ability to navigate difficult conversations with empathy, professionalism, and tact.
- Ability to work independently, exercise sound judgment and discretion, and maintain positive relationships with tenants, stakeholders, and colleagues.
