About Us

Horizon Assurance LLP is a growing public accounting firm focused on providing audit and assurance services to Canadian reporting issuers and private companies preparing to go public. We are seeking a highly organized Executive Administrative Assistant to provide direct administrative support to our partners and coordinate firm operations, internal projects, and office administration.

Position Summary

This role combines executive administrative support with operational and project coordination. Working directly with the partners, you will help keep priorities, deadlines, and follow-up actions on track; prepare reports and correspondence; support resource planning; and maintain organized administrative processes. The ideal candidate has experience supporting senior leadership, exercises sound judgment and discretion, and follows through on multiple priorities with accuracy and attention to detail.

Key Responsibilities

Executive Administrative and Operational Support

- Support the partners by coordinating and monitoring operational priorities, deadlines, and action items across the firm.
- Maintain task and project tracking systems, operational reports, and accountability dashboards to support partner oversight and follow-up.
- Prepare reports, summaries, and metrics to assist the partners with operational planning and management decision-making.
- Identify workflow bottlenecks, missed deadlines, communication gaps, and process improvement opportunities, and bring them to the partners’ attention.
- Escalate unresolved issues or recurring concerns to firm leadership as appropriate.
- Assist the partners in developing, implementing, and maintaining standard operating procedures and best practices.
- Support a culture of accountability, professionalism, and continuous improvement through timely follow-up and reliable administrative support.

Engagement and Project Administration

- Coordinate client onboarding, acceptance, and engagement administration.




- Track staff workload, resource utilization, and engagement schedules, and communicate capacity or scheduling concerns to the partners.
- Prepare resource capacity and workload reports to support staffing and planning decisions.
- Provide administrative support for budgeting, job costing, and engagement tracking.
- Coordinate regulatory filing and engagement transition processes where applicable.
- Monitor regulatory announcements and public information relevant to the firm’s clients, and summarize significant developments for the partners.
- Maintain organized client and engagement administration records.

Human Resources Support

- Coordinate employee onboarding and offboarding activities.
- Maintain staff training records and monitor completion of mandatory training and professional development requirements.
- Monitor the timely completion and accuracy of staff timesheets.

Office Management and Administration

- Maintain company records, licenses, permits, certifications, and other corporate documentation.
- Coordinate internal meetings, staff events, and office communications.
- Maintain administrative systems and office procedures.
- Maintain a professional, organized, and efficient office setting.
- Manage office supplies, kitchen inventory, and workplace amenities.
- Plan and coordinate office events, employee gatherings, holiday celebrations, and workplace initiatives.
- Liaise with the landlord, building management, and service providers.
- Coordinate office access, security, workspace allocations, and onboarding logistics.
- Coordinate interview logistics,



meeting room preparation, and office events.

Qualifications

- Post-secondary degree or diploma in Office Administration, Business Administration, Accounting, or a related field, or an equivalent combination of education and relevant experience.
- 3+ years of experience in executive assistance, senior administrative support, office administration, or a comparable role involving operational or project coordination.
- Ability to work independently with minimal supervision while demonstrating initiative, sound judgment, and accountability.
- Excellent writing and communication skills, with the ability to prepare professional business correspondence, and operational and resource planning summaries accurately and clearly.
- Proven ability to handle confidential information with professionalism and discretion.
- Strong organizational, analytical, and problem-solving skills.
- Exceptional time management skills with the ability to manage multiple priorities in a fast-paced environment.
- Advanced proficiency in Microsoft Office, particularly Excel, with strong working knowledge of Word and Outlook.
- High level of professionalism, integrity, and attention to detail and accuracy.
- Self-motivated with a proactive approach to identifying opportunities and solving problems.
- Experience in a public accounting or other professional services firm is considered an asset.
