AVSS is an aerospace company and world leader in guided and unguided parachute recovery systems for commercial drones.
With rapid growth across commercial and military customers, AVSS is looking for an Administrative Coordinator to support the VP of Operations and assist with administrative processes across the organization.
The ideal candidate has 5+ years of relevant administrative or operational experience and is a proactive self-starter who thrives in a rapidly growing environment. This role offers an opportunity to grow within the organization and take ownership of increasing responsibilities.
This is an in-person position with occasional flexibility required outside regular business hours, including some weekend availability.
Duties/Requirements:
Operational & Administrative Support
- Coordinate day-to-day administrative requests related to HR, accounting, and internal operations
- Support employee documentation, onboarding/offboarding processes, and other HR administration as directed by the VP
- Assist with invoices, purchasing documentation, and coordination with accounting
- Maintain accurate records, documentation, and recurring administrative processes
- Track requests, approvals, deadlines, and outstanding items through completion
- Handle sensitive and confidential information with discretion and professionalism
VP Support & Execution
- Manage the VP's calendar, scheduling, travel, and expense reporting
- Track priorities, commitments, and follow-up items
- Identify administrative and operational responsibilities that can be delegated from the VP
Meetings & Communication
- Support meeting preparation, documentation, and follow-up as required.
- Track decisions, deadlines, and commitments to ensure execution
- Serve as a point of coordination for routine HR and administrative requests directed to the VP
Collaboration with Administrative Team
- Work closely with administration and accounting roles to align priorities
- Support operational initiatives and cross-functional projects as required.
Travel & Logistics
- Coordinate and manage domestic and international travel arrangements
- Support on-site logistics during travel, off-sites, and key events
Projects and Process Improvement
- Assist with operational projects, process documentation, and information gathering as required.
- Anticipate needs and proactively solve problems before they escalate
- Continuously refine systems, processes, and workflows to improve efficiency
Qualifications and Skills
Need to have:
- Post-secondary education
- 3+ years of relevant administrative, coordination, or operational support experience
- Strong English written and verbal communication skills
- Experience with or working knowledge of administrative processes related to accounting, human resources, and/or supply chain
- Strong attention to detail and organizational skills
- Ability to proactively identify tasks, problems, and next steps
- Strong documentation and reporting skills
- Excellent time-management skills, with the ability to manage competing and recurring responsibilities
- Demonstrated ownership and accountability for assigned responsibilities
- Willingness to learn and take on increasing responsibility
- Receptive to feedback and committed to continuous improvement

Schedule:
Monday to Friday
Weekends as needed
Ability to commute/relocate:
Carp, ON: reliably commute or plan to relocate before starting work (required)
