Job Overview
We are seeking a compassionate, organized, and detail-oriented Medical Office Assistant to join our brand new Maternal-Fetal Medicine (MFM) clinic. You will be an important part of our team, welcoming patients, supporting clinic operations, and ensuring a smooth and positive patient experience. The ideal candidate is professional, attentive, and comfortable working in a quick-paced healthcare environment. This is a great opportunity to be part of a new clinic and help build a supportive, patient-centered practice from the ground up.
Major Duties and Responsibilities
- Greet patients on arrival, check in on EMR, confirm and update demographics, provide basic prep instructions
- Complete patient vitals as appropriate and enter into EMR
- Rooming patients, room turnover and cleaning, monitoring occupancy
- Ensure patients have received and filled out all required intake forms
- Assist in EMR patient chart prep for physician review
- Review referrals to ensure required documents are provided and deliver to the triaging care provider in a timely manner
- Answer phone calls and schedule appointments based on patient requests, physician availability, and booking preference; confirm appointments; send notifications; record no-shows
- Chaperone exams, such as transvaginal ultrasound, as needed
- Assemble and send referral packages as instructed by physician
- Monitor general clinic medical supply inventory; re-order and stock supplies
- Provide other administrative support including reception, faxing/copying, and processing incoming/outgoing mail and faxes
- Follow protocol and perform clinic opening and closing duties to ensure safety
Required Skills and Abilities
- Able to prioritize and manage multiple tasks
- Maintain focus on patient needs and remain calm with difficult patients
- Perform tasks efficiently in a fast-paced environment
- Proficient computer skills with Microsoft Office applications, including typing
- Excellent verbal and written communication skills, including professional phone etiquette
- Excellent organizational skills
- Adaptable and willing to learn new skills
- Collaborative, team-oriented approach with strong interpersonal skills
Qualifications
- Grade 12 diploma
- Work experience in a medical clinic is an asset
- Completion of diploma or certificate program for Medical Office Assistant, Hospital Unit Clerk, Health Office Administration is an asset, but not required
- Equivalent combination of education and experience may be considered

Pay: $17.00-$24.00 per hour
Expected hours: 40.0 per week
