Position Summary
The Accounting Administrator provides entry-level administrative and accounting support to help ensure accurate and timely processing of invoices, documents, and financial records. This position is responsible for scanning, organizing, entering, and maintaining records while assisting the accounting team with day-to-day clerical tasks.
Key Responsibilities
- Scan, organize, and electronically file invoices, financial documents, and other records.
- Enter invoice and accounting information accurately into computerized systems.
- Assist with processing accounts payable documents, including invoices, purchase orders, cheque requests, and related records.
- Assist with accounts payable and statement reviews.
- Obtain required approvals and follow up on outstanding items as directed.
- Ensure invoices and supporting documentation are entered and processed in accordance with established payment schedules.
- Assist with meeting monthly processing deadlines and department timelines.
- Respond to routine customer and internal inquiries in a qualified and courteous manner.
- Maintain organized electronic and paper filing systems and ensure records are kept up to date.
- Perform general administrative duties such as data entry, word processing, photocopying, and document management.
- Handle confidential financial and company information appropriately.
- Perform other related duties as assigned.
Education and Experience
- High school diploma or equivalent required.
- Post-secondary education in business administration, accounting, or a related field is an asset but not required.
- Previous office, clerical, data-entry, or customer service experience is an asset.
- Basic knowledge of administrative and clerical procedures.
- Familiarity with Microsoft Office and computerized data-entry systems.
- Accounting or accounts payable experience is an asset, but training will be provided.

- Basic mathematical and data-entry skills.
- Strong keyboarding and computer skills.
Working Conditions
- Typical hours: Monday to Friday - 9:00 am – 5:00 pm;. These hours, along with your work schedule, may be revised based on the needs of the business;
- Regular office environment.
- The position involves extended periods of computer and document-based work.
