Job Summary
Medical Office Assistant (MOA)
We are a new family medicine clinic seeking a reliable, organized, and patient-focused Medical Office Assistant (MOA) to join our team and support two physicians.
The successful candidate will play an key role in the day-to-day operation of the clinic. We are looking for someone who is organized, proactive, able to work independently, and comfortable managing multiple priorities in a busy medical office.
Responsibilities
- Greet and assist patients with check-in and check-out in a professional and welcoming manner
- Answer and manage incoming phone calls, messages, and patient inquiries
- Schedule and coordinate appointments, follow-ups, and reminders
- Register patients, update demographic information, medical history, and other patient information
- Maintain accurate and confidential electronic patient records
- Use EMR for scheduling, charting support, scanning, document management, referrals, forms, and other administrative tasks
- Manage incoming and outgoing faxes, referrals, requisitions, reports, and correspondence
- Process and follow up on referrals and investigations as required
- Assist physicians with routine clinical tasks and patient flow, including preparing examination rooms and obtaining vital signs, within the scope of training and clinic policies
- Assist with procedures and specimen collection as required
- Maintain clean, organized, and adequately stocked examination rooms
- Monitor clinic inventory and order medical and office supplies as needed
- Maintain appropriate storage and organization of medications, vaccines, and medical supplies according to clinic policies
- Assist with vaccine/medical supply inventory and monitoring of expiry dates, where applicable
- Support infection prevention and control practices
- Ensure patient confidentiality and compliance with PHIPA and clinic policies
- Assist with opening and closing clinic procedures as required
- Work collaboratively with two physicians and other clinic staff to maintain efficient patient flow
- Perform other administrative duties necessary for the smooth operation of the clinic
Qualifications & Skills
- Previous experience working in a family medicine or medical clinic is strongly preferred
- Previous experience with Accuro EMR is a strong asset
- Strong computer and administrative skills
- Knowledge of medical terminology and common family medicine workflows
- Knowledge of OHIP billing is an asset
- Excellent communication and interpersonal skills
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a busy clinical environment
- Ability to work independently and take initiative
- Professional, dependable, and patient-centred
- Knowledge of privacy, confidentiality, and infection prevention practices
- Comfortable working as part of a small team and supporting two physicians simultaneously

Pay: $19.00-$22.00 per hour
