Job Type: Full-Time, Permanent
Schedule: Monday to Friday

Start Date: Immediate opening; start date to be coordinated with the successful candidate

Annual Salary: $52,000 full-time

Position Overview

We are seeking a highly organized, proactive, and client-service focused Executive Assistant to join our Ottawa office. This position reports to the Supervisor of Administration and provides support to Partners and professional staff, while working closely with the Administrative Team to help ensure the productive day-to-day operations of the firm.

The successful candidate will be detail-oriented, professional, and comfortable managing multiple priorities in a deadline-driven environment. This role is well-suited to someone who enjoys being a reliable point of contact, supporting client service,



coordinating schedules and meetings, preparing polished correspondence, and contributing to firm-wide administrative initiatives.

Key Responsibilities

- Schedule and coordinate client meetings, both virtual and in person.
- Provide superior client service by responding to inquiries, answering phones, assisting with payment transactions, sending electronic receipts, and supporting accounts receivable follow-up as needed.
- Coordinate couriers, incoming/outgoing mail, and document flow.
- Manage calendars and assist with scheduling meetings, internal events, and appointments.
- Conduct research and liaise with government authorities on behalf of the firm and our clients.
- Draft, format, proofread, and finalize correspondence, reports, statements, proposals, and presentations.
- Assist with the planning and coordination of seminars, sponsorships, client events, and firm-wide activities.
- Coordinate travel arrangements when required.
- Provide reception coverage and general administrative support as needed to support the Ottawa office and Administrative Team.
- Maintain office and kitchen supplies and help ensure shared office spaces remain professional, organized, and welcoming.
- Maintain confidentiality, discretion, and professionalism at all times.

Qualifications

- Proficiency in Microsoft Word, Excel, Outlook, and Office 365.




- Excellent typing, formatting, proofreading, and data entry skills.
- Strong written and verbal communication skills.
- Exceptional attention to detail, organization, and follow-through.
- Ability to manage multiple priorities in a busy, deadline-oriented workplace.
- Positive, professional, and client-service oriented attitude.
- Experience with CCH iFirm, Taxprep, or Caseware is considered an asset.
- The ability to speak and write in both official languages is considered an asset.

Experience

- 1+ year of experience as an Executive Assistant, Administrative Assistant, or Receptionist is preferred.
- Previous experience in a professional services, accounting, legal, or client-service environment is considered an asset.
