Make a Difference Behind the Scenes

Victim Services Middlesex-London is seeking a highly organized, detail-oriented, and compassionate Office Administrator to support the daily operations of our agency.

This position is essential to ensuring our office runs efficiently while supporting a team that provides critical services to individuals impacted by crime and tragic circumstances. The successful candidate will maintain administrative systems, organize financial documentation, manage program tracking spreadsheets, and help ensure office resources remain current and accessible.

We are looking for someone who enjoys creating order, takes pride in accuracy, and can maintain professionalism and compassion in a trauma-informed, crisis-response environment.

Key ResponsibilitiesAdministrative Support

- Maintain and organize confidential staff, volunteer, and agency records.
- Manage office filing systems, documentation, forms, and administrative processes.
- Coordinate office supplies, equipment, and inventory.
- Assist with scheduling, meeting preparation, and document management.
- Provide administrative support to the Executive Director and management team.
- Ensure agency resources, service provider directories, and community information are updated regularly.

Financial Administration

- Organize and prepare financial documentation for the agency's bookkeeper.
- Maintain records of invoices, receipts, expense claims, and supporting documentation.
- Assist with reconciliation and tracking of financial records.
- Maintain organized and audit-ready filing systems.
- Support grant and program-related documentation requirements.

Program Data & Reporting

- Maintain Excel-based tracking systems for the Victim Quick Response Program.
- Enter, verify,



and update program data with a high degree of accuracy.
- Generate reports, summaries, and statistical information as required.
- Monitor records for completeness and compliance.

Reception & Community Support

- Welcome visitors, partners, and clients in a professional and compassionate manner.
- Answer and direct phone calls and email inquiries.
- Provide information and referrals while maintaining confidentiality.
- Help create a safe, respectful, and supportive workplace for all individuals accessing services.

QualificationsRequired

- Minimum of two years' experience in an administrative or office support role.
- Advanced proficiency with Microsoft Office, particularly Excel.
- Robust organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and deadlines.
- Demonstrated professionalism and ability to handle confidential information.
- Ability to work independently and collaboratively as part of a team.
- Valid Ontario driver's license and reliable transportation.

Preferred

- Experience with bookkeeping support, financial administration, or accounts management.
- Experience working within a non-profit, social service, healthcare, legal, or crisis-response environment.
- Familiarity with trauma-informed and victim-centered approaches.
- Experience with reporting, databases,



or case management systems.

Pay: $21.00-$25.00 per hour

Expected hours: 5.0 per week
