Position Overview
The Day Options Program Manager is a member of the IHACSS leadership team and leads the development, delivery, and ongoing improvement of DOP. Building on existing programming, the Manager creates structured, enjoyable, and accessible opportunities that reflect individuals’ interests, abilities, cultures, and goals. This hands-on role combines life skills, wellness, recreation, and community participation with staff supervision, new ideas, and accountability for program quality and outcomes.
Key Responsibilities
Program Development & Delivery
- Develop and personally facilitate structured, adaptable programming that combines life skills, wellness, recreation, creativity, and community participation.
- Create monthly activity calendars and disseminate them to individuals, staff, and support homes.
- Build on existing programming and introduce new ideas based on individuals’ interests, goals, feedback, and support needs.
- Provide volunteer and job-related opportunities for individuals in care.
Individual Support & Wellness
- Maintain professional, respectful relationships with each individual in care.
- Promote individual choice, personal rights, social connection, community inclusion, and cultural and religious practices; adapt activities to diverse abilities and needs.
- Promote safety, wellbeing, and healthy behaviors during programs and interactions.
- Support individuals during crises or challenging behaviours.
Staff Coaching & Supervision
- Provide in-the-moment coaching, mentoring, and skill-building opportunities to employees.
- Role-model IHACSS expectations, daily living skills, and wellness practices.
- Supervise DOP facilitators, set clear expectations, review activity plans, and support performance and development.
Reporting & Documentation
- Maintain accurate DOP records and contribute programming goals and progress updates to ICPs and Behaviour Support Plans in collaboration with Client Care; implement relevant approved strategies.
- Ensure accurate and timely completion of quarterly reports, program participation updates, and contractual documentation.
- Monitor and review staff documentation, including Behaviour Tracks, Positive Occurrence Reports, and Unusual Occurrence Reports.
Community & Stakeholder Engagement
- Build ongoing community partnerships that create meaningful recreation, cultural, volunteer, employment exploration, and social opportunities for individuals.
Policy & Compliance
- Maintain knowledge of IHACSS policies, procedures, Health & Safety Manual, CAC standards, and applicable legislation.
- Ensure programs and documentation comply with accreditation and contractual requirements.
Continuous Quality Improvement
- Attend leadership, DOP team, and Client Care meetings as required, and follow through on agreed actions.
- Maintain all mandatory training and certifications.
- Participate in accreditation and vendor audits as required.
- Provide guidance and support to front-line employees regarding IHACSS policies, procedures, and expectations.
- Seek feedback from individuals, staff, and partners; evaluate new ideas for accessibility, benefit, cost, and sustainability, and implement improvements.
Qualifications & Experience
Education
- Degree or diploma in Health Services, Human Services, Disability Services, Special Education, Recreational Therapy, Occupational Therapy, or a related field.
- Additional coursework, certifications, or professional development in program planning, life skills development, behavior support,
or wellness education is considered an asset.
- Knowledge of adult learning principles, inclusive facilitation, accessibility, and evidence-based support strategies is preferred.
Experience
- Minimum 3 years of experience working with adults with disabilities, complex needs, or in supportive living programs.
- Proven experience in developing, organizing, and facilitating recreation, educational, and skill-building programs.
- Experience tracking program participation, evaluating outcomes, and reporting to stakeholders or funders.
- Demonstrated supervisory or team leadership experience, including coaching staff, setting expectations, and supporting performance and development.
- Familiarity with individualized care plans (ICPs), Behavior Support Plans, and compliance with accreditation standards.
- Experience building community partnerships, coordinating vendor services, and creating enriching program opportunities.
- Ability to adapt programs and strategies to meet the diverse needs, abilities, and cultural backgrounds of individuals in care.
Knowledge, Skills, and Abilities
- Knowledge of supportive care principles for adults with disabilities and complex needs, including wellness, life skills, and behavior support.
- Ability to create structured, flexible program plans, introduce practical new ideas, and evaluate outcomes.
- Strong interpersonal and communication skills to build rapport with individuals in care, staff, and community partners.
- Strong organizational skills to coordinate programming, approved resources, documentation, and priorities across departments.
- Problem-solving and adaptability, with the ability to respond to crisis situations and diverse needs.
- Proficiency with documentation and reporting tools, ensuring timely and accurate completion of records, progress notes, and reports.
- Commitment to ethical practice, cultural competence, and person-centered care, promoting respect, inclusion, and dignity for all individuals in care.
