We are an established Canadian healthcare staffing agency. We place healthcare workers in healthcare facilities in Ontario and other provinces.

This is a full 180 desk. You own a candidate from the moment you source them to the moment they walk onto a unit for their shift: sourcing, screening, credentialing, onboarding, then filling the shifts they work. Recruiters who only hand off after the offer will find this role broader than they expect. Recruiters who like owning the whole chain will find very little of it out of their control.
Recruitment is the largest part of the job. Shift filling and administration make up the rest, and the balance shifts week to week with client demand.
Ownership mindset
This is the part we screen hardest for.
- You do not wait to be told what to do. You anticipate needs and solve problems before they arrive.
- You hold yourself accountable for accuracy, speed and efficiency, in that order when they conflict.
- You take pride in owning the candidate experience end to end, from first contact through to a clean first shift.
Key responsibilities
Recruitment and candidate management
- Post job openings across multiple platforms to attract qualified healthcare and support staff.
- Screen resumes, conduct initial phone interviews and assess suitability against role and client requirements.
- Coordinate and schedule interviews between candidates and hiring managers.
- Maintain an active talent pipeline so client needs can be filled quickly rather than reactively.
- Keep candidates informed with timely updates and follow-ups throughout the process.
Onboarding and compliance
- Ensure every new hire completes onboarding paperwork and meets all compliance requirements before their first shift.
- Verify credentials, certifications and background checks.
- Track and maintain accurate records in the Applicant Tracking System.
- Guide candidates through onboarding so their first day is straightforward for them and for the facility.
Shift scheduling and workforce coordination
- Assign shifts based on staff availability, credentials and client requirements.
- Drive toward full shift fulfilment, filling urgent and last-minute openings without dropping the quality bar.
- Send shift reminders and confirmations to reduce cancellations and no-shows.
- Work closely with Recruitment Consultants to keep placements seamless.
Candidate and client communication
- Respond to candidate enquiries, shift requests and client updates promptly.
- Proactively re-engage inactive candidates before the bench runs thin.
- Handle last-minute staffing challenges by coordinating between candidates and the Recruitment Manager.
Reporting and process improvement
- Track hiring metrics, fulfilment rates and compliance completion.
- Identify inefficiencies in recruitment and staffing processes and propose fixes.
- Support workforce planning and forecasting.
What success looks like
- You consistently attract and place high-quality candidates across every role we staff, clinical and support.
- You anticipate staffing needs so shifts are filled before they become urgent.
- You communicate proactively with candidates and clients, so last-minute disruption is rare rather than routine.
- Your scheduling and compliance records are accurate without anyone auditing them.
- You act fast and act smart. Urgent shifts get covered quickly without sacrificing quality or compliance.
Must-have skills and experience
- Demonstrated high-volume or bulk hiring experience in a fast-paced, heavily regulated environment. This is the single most important requirement.
- Background in staffing, recruitment coordination, scheduling or HR support.
- Strong organisational and multitasking skills. You will hold multiple schedules, pipelines and priorities at once.
- Excellent communication by phone, email and text. Clear, concise, professional.
- Hands-on experience with an Applicant Tracking System or scheduling software.
- Working knowledge of healthcare staffing regulations and credentialing, or a credible willingness to learn it fast.
- Composure and output under deadline pressure.
- A quiet home work setup, a stable internet connection, and legal entitlement to work in Canada.
Preferred
- Experience in healthcare staffing or another high-volume scheduling workplace.
- Knowledge of HR compliance and workforce legislation.
- Ability to read staffing trends and turn them into process improvements.
Pay: $45,000.00-$50,000.00 per year
