Executive Operations & Special Projects Coordinator

Part-Time | Langley, BC | $25–$27/hour | 20–25 hours/week

We are looking for a smart, highly organized and resourceful person to work directly with an entrepreneur involved in multiple businesses, real estate, investments and current ventures.

This is a unique role for someone who likes variety, problem-solving and getting things done.

We need someone who can handle administrative and bookkeeping-related responsibilities, while also being comfortable taking on special projects, researching new ideas, coordinating with contractors and vendors, and helping move new ventures forward.

We're essentially looking for a Swiss Army knife — someone we can trust with a wide variety of tasks and who isn't afraid to figure something out when there isn't an instruction manual.

What You'll Do

Responsibilities will vary, but may include:

- Assist with QuickBooks and basic bookkeeping-related tasks
- Organize invoices, receipts, expenses and financial records
- Assist with reconciliations and basic financial reporting
- Build and maintain spreadsheets, trackers and project plans
- Coordinate with accountants, bookkeepers, contractors and vendors
- Research new business ideas, products, properties and opportunities
- Obtain quotes and compare vendors
- Assist with launching new ventures and projects
- Coordinate property and real-estate-related projects
- Handle paperwork, applications and miscellaneous administrative tasks
- Make calls, send follow-ups and chase down outstanding items
- Organize files and improve administrative systems
- Use AI tools such as ChatGPT to research, analyze and complete work more efficiently
- Assist with occasional personal and household administrative matters
- Take ownership of miscellaneous special projects

Occasionally,



this may involve getting out of the office — visiting a property, meeting a contractor, picking something up, checking on a project, or travelling within BC, including occasional trips to Vancouver Island.

The Person We're Looking For

More than anything, we're looking for someone who is resourceful.

You should be the type of person who can be given a task like:

“Can you figure this out for me?”

…and come back with answers and a proposed solution rather than a long list of questions.

You should be:

- Extremely organized and dependable
- Detail-oriented
- Comfortable working independently
- Good with numbers and spreadsheets
- Comfortable with QuickBooks or willing and able to learn it quickly
- Comfortable using technology and AI
- A strong written and verbal communicator
- Able to juggle several unrelated projects
- Comfortable making phone calls and following up with people
- Willing to take on tasks outside a traditional job description
- Able to maintain confidentiality
- Someone who takes ownership and follows things through to completion

Experience in administration, bookkeeping, accounting, project coordination, executive assistance, property management or small-business operations would be helpful.

A business or accounting background would be an asset, but formal accounting credentials are not required.

A valid driver's licence and reliable transportation are required.

Schedule





Approximately 20–25 hours per week to start.

The role will be based primarily in Langley, BC, with a combination of in-person and potentially some remote work.

We can offer some flexibility around scheduling for the right person.

There is also potential for the role, hours and compensation to grow as responsibilities increase.

Compensation

$25–$27/hour, depending on experience and capabilities.

Why This Role Is Different

This isn't a position where you'll do the same thing every day.

One day you may be working in QuickBooks or organizing financial information. The next you could be researching a new business opportunity, coordinating a contractor, helping plan a new venture, visiting a property or solving an unexpected problem.

You'll work directly with the owner and get exposure to multiple businesses, investments, real estate projects and new ventures.

For someone who is ambitious, curious and enjoys learning how businesses actually operate, there is a lot of opportunity to grow.
