Reporting

The HR & Recruitment Coordinator reports directly to the Senior Manager, Human Resources and Payroll Services.

Key Performance Indicators / Duties & Responsibilities

Recruitment

- Coordinate and carry out full-cycle recruitment for assigned positions, from job posting and candidate sourcing through screening, interviews, reference checks and offer acceptance.
- Work with hiring managers and the HR team to confirm position requirements, hiring priorities and recruitment timelines.
- Prepare and post job advertisements using approved job descriptions and recruitment platforms.




- Proactively source candidates through job boards, professional networks, employee referrals, schools and other relevant channels.
- Review applications, conduct initial screening interviews and recommend suitable candidates to hiring managers.
- Coordinate interviews and participate in interviews as required.
- Maintain timely communication with candidates and hiring managers throughout the recruitment process.
- Complete reference checks and coordinate other required pre-employment checks.
- Prepare offer letters using approved templates and obtain the necessary approvals before issuing offers.
- Maintain accurate applicant tracking records and provide regular updates on vacancies, candidate progress and recruitment activity.
- Support relationships with educational institutions and community employment organizations, and participate in career fairs as needed.

HR Administration

- Coordinate new hire paperwork, orientation schedules and onboarding arrangements with hiring managers and relevant departments.
- Maintain accurate employee files, HR system records and recruitment documentation.
- Prepare routine employment letters and other HR documents using approved templates.
- Assist with tracking probationary review dates, training completion and outstanding employee documentation.
- Respond to routine administrative inquiries and refer employee relations, policy interpretation and other complex matters to the appropriate HR team member.
- Assist with HR reports, document updates, employee communications and other administrative assignments as required.

Qualifications

- Diploma or certificate in Human Resources, Business Administration or a related field. An equivalent combination of education and relevant experience may be considered.




- Strong organizational and time-management skills, with the ability to manage multiple priorities.
- Robust written and verbal communication skills.
- High attention to detail and sound judgment when handling confidential information.
- Proficiency in Microsoft Office.

Experience

- Minimum of two years of recruitment experience, including hands-on experience managing full-cycle recruitment.
- Experience using an applicant tracking system.
- Experience coordinating interviews, conducting candidate screenings and reference checks, and preparing offer letters.
- Experience supporting onboarding, employee records and general HR administration.
- Recruitment experience within aviation, skilled trades, manufacturing or another operational environment is considered an asset.
