Job Information: We are seeking an organized, personable, and proactive HR/Recruitment Coordinator to own the full recruitment cycle for our teams across Canada, including Quebec region. This role is the main point of contact for hiring managers and candidates.
This person will also be called to support the Human Resources team, answering day-to-day inquiries, build HR administrative documentation following the company’s and department standards, offer follow-ups and help in translating communications and documents.
Given the national scope of the role, bilingualism (English and French) is essential. This position offers real opportunities for growth, with additional HR responsibilities to be taken on overtime.
Who You Are…
- 1 to 3 years of experience in recruitment, talent acquisition, or HR coordination, ideally with full-cycle recruitment responsibility across multiple provinces.
- Fully bilingual (English and French), both written and verbal. This is a requirement of the role, as you will communicate daily with candidates, managers, and employees in both languages, including in Quebec.
- Hands-on experience posting jobs and managing recruitment platforms (e.g., LinkedIn, Indeed, job boards, and an applicant tracking system).
- Proven experience conducting phone screenings and assessing candidates’ qualifications, motivation, and fit.
- Working knowledge of Canadian employment standards and hiring practices,
including provincial differences and Quebec-specific requirements
- Experience with an HRIS; Ceridian Dayforce is considered an asset.
- Excellent written and verbal communication skills, with a professional, warm, and service-oriented approach with candidates, managers, and employees.
- Strong organizational and scheduling skills, with the ability to manage multiple open positions, coordinate calendars, and meet deadlines.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- High level of discretion and sound judgment when handling confidential information.
- Comfortable working independently, taking initiative, and eager to learn and grow into new HR responsibilities.
- Post-secondary education in Human Resources, Business Administration, Communications or a related field (an asset) and/or equivalent experience.
What You’ll Do…
1. Full-Cycle Recruitment & Job Postings
- Partner with hiring managers to define role requirements and draft or update job descriptions and postings in English and French.
- Publish job postings and manage recruitment platforms (job boards, LinkedIn, and applicant tracking system), including renewing, updating, and closing postings as well as communicating with the internal teams when hiring is successful
- Source, review, and screen applications, and maintain an active pipeline of qualified candidates for national and regional openings.
- Track recruitment activity and key metrics (e.g., open positions, time-to-fill) and share regular updates with HR and managers.
- Identify opportunities to improve recruitment processes, and candidate experience.
2. Candidate Communication & Interviews
- Contact candidates and conduct first-round phone interviews to assess experience, language skills, salary expectations, and fit.
- Prepare screening summaries and share recommendations with hiring managers.
- Schedule second interviews with managers, coordinating availability across teams and time zones.
- Keep candidates informed throughout the process,
including communicating outcomes to unsuccessful candidates, to ensure positive candidate experience.
- Follow new provincial legislation on what information to provide the candidates and respect new response timelines as well as following any new or other hiring legislation.
3. Manager Partnership & Offer Support
- Serve as the main point of contact for hiring managers, gathering interview feedback and advising on next steps.
- Support the offer process, including coordinating reference checks and give the appropriate information to the HR team to prepare offers and employment documentation in the appropriate language.
5. Human Resources Support
- Monitor and respond to the HR email inbox, answering day-to-day employee and manager inquiries in English and French and escalating complex matters to the HR team as needed.
- Maintain accurate, confidential recruitment and employee records in accordance with Canadian privacy standards.
- Support HR administration and documentation including but not limited to preparing employment letters, translating communications and documents from English to French or vice versa, as requested
- Take on additional HR tasks and projects as the role evolves.
