The Faculty of Veterinary Medicine is currently seeking a Full-time Limited Term Development Coordinator for approximately 6 months.

The Office of Advancement exists for the mutual benefit of the University of Calgary and its stakeholders, coordinating development, alumni relations, communications, and community partnerships.
This position reports to the Director of Development, UCVM, providing support to the Director of Development, UCVM. The position works closely with other members of the UCVM Team, university Advancement Office, and members of many other business units within UCVM.
The Development
Coordinator supports the overall goal of this portfolio by ensuring the accurate and timely capture of relevant information on current donors and prospects that will help guide decision-making and generate gifts.
The Development Coordinator will provide administrative support with emphasis on decision-making and highly developed organizational skills and the ability to anticipate needs, plan, organize, coordinate, and perform work with no or very little direction. Strong time management skills, and must have the ability to set own priorities, and to manage and prioritize multiple tasks to deadline.
The successful candidate will possess maturity, self-confidence and poise to deal appropriately with a wide variety of people from the student level to high-profile community leaders and dignitaries and display a strong work ethic in all assignments which may vary from routine tasks to complex projects.
The position has a high volume of work driven by constant deadlines.
The Development
Coordinator has access to highly sensitive and confidential information, and interacts with key external stakeholders including donors, alumni and community leaders.
Early morning, evening and weekend hours are, on occasion, required. This position works out of the Spy Hill campus.
Summary of Key Responsibilities (job functions include but are not limited to):
- Securing key meetings with high-level internal and external stakeholders. This may include the creation of briefing notes and presentations.
- Processing donations and donor designations in accordance with development office procedures - submission of Gift Designation Forms, processing of Gift Agreements, Checklists and Terms of Reference
- Ensuring accurate updating of Prospect Management module in a timely manner
- Coding records of engagement from team briefing and contact notes into the database in appropriate fields
- Extracting relevant information from contact reports to create, code and update records of engagement appropriately
- Conducting preliminary research on identified prospects and donors including biographical and philanthropic interest and coding the information on the prospect record for use by development staff
- Maintaining up-to-date documentation on prospect and donor record, ensuring that it is comprehensive, current and user-friendly, including managing and updating all biographical information
- Supporting the UCVM donor stewardship activities including thank you letters as well as the execution of donor recognition events, naming dedications launches of initiatives,
recording acknowledgements and uploading documents into the database, and supporting the preparation of stewardship materials.
- Administer and/or take minutes for internal team meetings
- Support gift administration and related documentation, including the preparation, tracking and coordination of gift agreements, gift designation forms, and other development documentation.
- Coordinate the administration and tracking of donor-funded awards, sponsorships, and other philanthropic commitments.
- Coordinate fundraising, sponsorship, and donor engagement activities, including stakeholder outreach, information gathering, documentation, recognition, tracking and follow-up.
- Coordinate and schedule donor, sponsor and stakeholder meetings, including meeting logistics, briefing materials and follow-up activities.
- Maintain accurate donor, prospect and engagement information within Blackbaud CRM and related advancement systems.
- Plan and coordinate fundraising, stewardship and donor engagement events in collaboration with faculty and Development and Alumni colleagues.
- Support the administration and coordination of the Faculty of Veterinary Medicine Pet Memorial Program.
- Collaborate with Development and Alumni colleagues and other university partners to ensure alignment with development processes, policies, procedures and compliance requirements
- Performing other related duties as required and assigned
Qualifications / Requirements University degree or related education preferred and a minimum of 2 years directly related experience, preferably in a fundraising or post-secondary educational setting. Experience working with a veterinary faculty, UCVM, or in the animal health, agricultural or related sectors is considered an asset. Additional desired competencies include:
- 2 to 3 years of progressive client and/or customer service experience in an organization.
- Excellent computer skills including database/information management with particular experience using Blackbaud and Microsoft Office 365.
- Familiarity with the principal tools and techniques for development moves management.
- Experience in higher level data functions including queries, exports, imports and mail merges.
- Strong organizational and time-management skills, attention to detail and accuracy.
- Ability to multi-task, prioritize and meet competing deadlines.
- Demonstrated professionalism, tact and maturity in handling highly sensitive and confidential information ethically and with discretion.
- Able to work well under pressure, in an environment with daily deadlines.
- Ability to work both independently and as part of a team and to work effectively in a large, complex, dynamic and sophisticated organization.
- Knowledge of basic office equipment such as photocopiers, fax machines and printers.
- Able to remain positive and confident under pressure.
- Ability to build productive working relationships with clients and team members.
- Must have the ability to deal with frequent interruptions in a cooperative and qualified manner.
- Must be open to learning and development and be willing to accept new challenges and assignments.
- Understands and maintains confidentiality, demonstrating diplomacy and good judgment.
- Demonstrated ability to exercise judgment within established guidelines.
- A high level of knowledge and understanding of University policy and procedures would be a definite asset.
- Experience in a fund development office is an asset. Knowledge in development practices and the processes and functions of the units within, also the systems utilized for day to day business; Blackbaud CRM, Net Community, PeopleSoft and SharePoint will be an asset.
- Ability to manage and deliver assigned special projects on time.
