Our team of highly skilled, qualified elevator technicians are experts in the installation, maintenance, upgrading and servicing of nearly all makes and models of elevators and lifts.

We serve all of Ontario​ making us an excellent full-service elevator company for builders, home owners and property management companies that have or require multiple elevating devices.

The Position

The role of Administrative & Service Coordinator is a full-time, permanent position where the successful applicant will be responsible for a variety of office administration tasks as well as coordination of our field team to ensure client requests are fulfilled. This includes answering and scheduling phone calls, recording and relaying messages accurately, managing customer accounts, processing payroll and timesheets, light bookkeeping duties, accounts receivable, accounts payable, maintaining filing systems, updating various company logs, preparing sales proposals and presentations, and other duties as required. This is an on-site position, working directly out of our Brantford headquarters.





The Coordinator receives direction from the Field Operations Manager to prioritize work and ensure tasks are completed accurately and efficiently. This is a new vacancy.

Responsibilities

- Transcribe and relay business messages (phone calls, voicemails, emails, etc.) to the Field Operations Manager and ensure 100% of business messages are addressed appropriately.
- Maintain accurate filing system, logs, and Excel spreadsheets using existing account information and ensure the information is readily available.
- Open/close work orders and service requests on time and with accuracy.
- Ongoing maintenance and accuracy of Alliance’s CRM accounts with regular reviews.
- Responsible for employee scheduling, and updating the Field Operations Manager with any concerns, issues, or gaps.
- Draft sales proposals for clients and assist in presenting to clients in alignment with Alliance’s business requirements.
- Maintain and promote healthy client relationships as first point of contact for Alliance customers and clients.
- Own projects from start to finish, with minimal supervision.
- Oversee all Alliance incoming and outgoing mail and courier services.
- Process Alliance payroll, and accounts payable/accounts receivable.
- Meet with clients to host lunch and learn sessions, as required.​
- Act as primary contact for employees from all departments and relay information and direct calls to ensure deadlines are met.
- General office administrative duties, as required.

Education/Experience Required:




- Successful completion of a college diploma within Office Management, Bookkeeping, General Business, or similar. Equivalent practical experience will be considered.
- 2-3 years’ experience in a similar position is preferred.
- Experience in a technical or blue-collar related position is beneficial for success.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Exceptional customer service skills are a necessity to ensure maintenance of positive client relationships and prompt service.
- Superb verbal and written communication skills.
- Strong accounting skills & knowledge of principles of accounting.
- High-level problem-solving skills, with the ability to know how to resolve issues and when to escalate for input.
- Ability to work independently and multi-task to prioritize responsibilities with little supervision.
- Highly analytical with strong attention to detail.
- A valid Ontario G driver’s license with a clean driver’s abstract is required.

Work Environment:
- This position operates directly out of our Brantford headquarters.
- May be required to attend job sites, as needed.
- Working hours are from Monday to Friday 8:00am - 4:30pm.
- Pay: CA$22.00-CA$24.00 per hour
