We are seeking an energetic and detail-oriented Catering & Conference Services Manager to lead our catering and event operations with enthusiasm and professionalism. The Catering & Conference Services Manager is responsible for booking, conducting sites, finalizing and servicing the Corporate Market and Conference Services Bookings. This role ensures revenue maximization and profitability of Catering & Conference Service budget goals are met by actively soliciting.
Participates in all aspects of Catering/Conference Services, ensuring a seamless co-ordination of all catering functions in accordance with policies and procedures and ensures all events are organized effectively. This includes delivering a consistently high level of client/guest satisfaction and hotel profitability by meeting and exceeding departmental goals as stated in the fiscal budget.
Responsibilities
- Respond to all telephone, walk-in, email, and referral inquiries in a professional and timely manner.
- Achieve departmental and operational service goals while delivering exceptional customer service.
- Gather, confirm, and maintain all event details and client requirements.
- Prepare, organize, and distribute event documentation, including Banquet Event Orders (BEOs), conference resumes, rooming lists, and departmental memos.
- Prepare function estimates, manage deposit schedules, and follow up on outstanding payments as required.
- Manage group bookings from confirmation through event completion, ensuring all event details are accurately documented in Delphi.
- Coordinate event execution with all hotel departments to ensure successful delivery of client expectations.
- Collaborate with Culinary, Banquets, and other operational departments to resolve event-related challenges.
- Maintain strong working relationships across all hotel departments to ensure seamless event operations.
- Monitor guest feedback and identify opportunities to enhance the overall customer experience.
- Conduct site inspections,
menu tastings, and test meals for prospective and confirmed clients.
- Lead pre-event meetings when required to review event details and operational plans.
- Coordinate external vendors and suppliers while maintaining positive business relationships.
- Provide in office event support, including evenings and weekends as required.
- Conduct post-event follow-up with clients to evaluate satisfaction and identify future business opportunities.
- Participate in industry events, networking opportunities, and trade shows as assigned.
- Identify and communicate potential sales leads and referral opportunities.
- Stay informed on industry trends and contribute ideas for new themes, events, and service enhancements.
- Facilitate daily BEO meetings with Food & Beverage teams when designated leadership is unavailable.
- Attend Catering Meetings and departmental meetings as required.
- Complete all mandatory training and development programs.
- Perform other duties as assigned by the Director of Catering.
Qualifications
- Proven 2-3 years of experience in the hospitality industry, preferably in a Catering, Conference Services or Food & Beverage
- Fluent in English; Mandarin is considered an asset.
- Strong background in marketing techniques to effectively promote services and increase sales.
- Excellent guest service skills with a passion for creating memorable experiences for diverse clientele.
- Demonstrated ability in upselling, negotiation, customer service excellence, and conflict resolution.
- Exceptional organizational skills with the ability to manage multiple events simultaneously while meeting deadlines.
- Strong time management and budgeting skills with the ability to optimize operational efficiency and profitability.
- Outstanding verbal and written communication skills with the ability to coordinate teams and liaise confidently with clients.
- Strong knowledge of hospitality industry standards, restaurant operations, hotel operations, and event management practices.
- Proficient in Microsoft Office applications; experience with Delphi or similar event management software is considered an asset.
- Ability to work flexible schedules, including evenings, weekends, and holidays as required.
