Overview:
We are seeking a highly organized, detail-oriented, and client-focused Conveyancer / Legal Assistant to support our residential and/or commercial real estate practice.
The successful candidate will be responsible for assisting with real estate conveyancing files from opening through completion, preparing and organizing legal documentation, communicating with clients and other professionals, and ensuring that files are handled accurately, efficiently, and in accordance with applicable British Columbia requirements and office procedures.
This position is ideal for someone who has strong knowledge of British Columbia real estate transactions, excellent administrative skills, and the ability to manage multiple files and deadlines in a fast-paced environment.
Key Responsibilities Real Estate Conveyancing
- Open, organize, maintain, and close residential and commercial real estate files.
- Obtain and review information and documentation required to complete conveyancing files.
- Communicate with clients, realtors, lenders, mortgage brokers, financial institutions, lawyers, notaries, and other parties involved in transactions.
- Prepare conveyancing documents and correspondence under the direction of the responsible lawyer or notary.
- Assist with purchases, sales, refinances, transfers, mortgages, discharges, and related real estate transactions.
- Order and review relevant searches and documents as required for the transaction.
- Assist with obtaining title information and reviewing title documents for issues requiring the attention of the lawyer or notary.
- Prepare statements of adjustments, trust documents, undertakings, direction documents, and other transaction-related documentation as required.
- Coordinate signing appointments and ensure clients receive appropriate documentation and instructions.
- Follow up with clients and third parties to obtain outstanding information and documents.
- Coordinate with lenders and financial institutions regarding mortgage instructions, funding, payout statements, and related requirements.
- Assist with Land Title Office filings and registrations as directed.
- Confirm registration and completion of transactions.
- Prepare and organize reporting and closing documentation.
- Ensure all files are properly documented, organized, and closed in accordance with office procedures.
Legal Administrative Support
- Draft and format letters, emails, forms, reports, and other legal correspondence.
- Maintain accurate electronic and physical filing systems.
- Manage calendars, appointments, signing meetings, and transaction deadlines.
- Monitor incoming and outgoing correspondence.
- Maintain detailed file notes and records of communications.
- Assist with billing, accounts receivable, trust-related administrative tasks, and other office procedures as required.
- Assist with general administrative duties and provide support to lawyers, notaries, and other members of the legal team.
- Maintain confidentiality of all client, financial, and legal information.
Client Service
- Provide professional, courteous, and timely communication to clients.
- Explain administrative and procedural requirements to clients in a clear and skilled manner.
- Respond to routine client inquiries and escalate legal or substantive questions to the responsible notary.
- Establish positive working relationships with clients, realtors, lenders, brokers, and other professionals.
- Maintain a high level of professionalism and discretion when dealing with sensitive client information.
Qualifications
- Previous experience as a legal assistant, conveyancer, conveyancing clerk, or legal administrative professional is preferred.
- Experience with British Columbia residential real estate conveyancing is strongly preferred.
- Knowledge of the British Columbia Land Title system and real estate transaction processes.
- Familiarity with mortgage transactions, refinances, discharges, transfers, and property purchases and sales.
- Strong understanding of legal terminology and documentation.
- Excellent organizational and time-management skills.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to prioritize multiple files and competing deadlines.
- Ability to work independently while also functioning effectively as part of a team.
- Professional and client-focused demeanor.
- Strong computer skills and proficiency with Microsoft Office, Outlook, PDF/document management, and legal practice management software/Software.
Preferred Experience The following would be considered assets:
- Experience working in a British Columbia law firm or notary office.
- Experience with LTSA / myLTSA processes.
- Experience with electronic filing and registration of Land Title documents.
- Experience with lender instructions and mortgage documentation.
- Familiarity with Society of Notaries Public of British Columbia practice requirements.
- Experience with trust accounting procedures and conveyancing reporting.
- Experience using legal practice management and accounting software.
- Legal Assistant or Paralegal diploma/certificate.

Pay: $23.00-$25.00 per hour
Expected hours: 20.0 – 25.0 per week
