About the Role

Richardson Team-oriented Organizational Services Inc. is seeking a detail-oriented and dependable Finance & People Coordinator to support the financial administration and people operations of a growing group of organizations.

This is primarily a finance and bookkeeping role, with approximately 80% of the position focused on financial administration and approximately 20% focused on people and employment administration.

The successful candidate will work closely with organizational leadership and will be trusted to maintain accurate financial records, complete routine reconciliations, support payroll and financial reporting, and help keep core people processes organized.

This position will begin at approximately 24 hours per week and is expected to grow toward full-time employment as organizational needs increase. We are looking for someone who is interested in growing with the organization and taking on increasing responsibility as the financial and administrative needs of the ecosystem expand.

Key ResponsibilitiesFinance & Bookkeeping The Finance & People Coordinator will be responsible for supporting the day-to-day financial administration of RCOS and the organizations it supports, including:

- Maintaining accurate bookkeeping records and financial documentation;
- Recording and categorizing financial transactions;
- Completing bank and credit card reconciliations;
- Supporting accounts payable and accounts receivable processes;
- Preparing and organizing documentation required for payroll;
- Monitoring invoices, payments, expenses, and outstanding receivables;
- Assisting with monthly financial reporting and internal financial summaries;
- Maintaining organized financial records across multiple organizations;
- Supporting budgeting, forecasting, and financial tracking;
- Assisting with year-end preparation and coordination with external accounting professionals;
- Completing or supporting trust account reconciliations for the law practice in accordance with established procedures and professional requirements;
- Identifying discrepancies and bringing financial concerns or irregularities to leadership promptly; and
- Helping improve financial systems, controls, and administrative processes as the organization grows.

People Administration The position will also provide administrative support to the organization’s people functions, including:
- Maintaining organized employee records and employment documentation;
- Preparing routine employment documents, forms, and administrative correspondence;
- Supporting onboarding and offboarding processes;
- Maintaining records related to vacation, employment changes, compensation, and other personnel administration;




- Supporting probationary and performance review administration;
- Assisting leadership with maintaining employment documentation and internal people processes;
- Supporting payroll-related employee administration where required; and
- Helping ensure people-related administrative systems remain organized, current, and consistent.

The Finance & People Coordinator is not expected to independently manage complex employee relations or make employment decisions. The role provides the financial and administrative foundation that allows organizational leaders to make informed decisions.

What We Are Looking For

We are looking for someone who is:

- Highly organized and attentive to detail;
- Comfortable working independently and managing recurring financial responsibilities;
- Reliable with confidential and sensitive information;
- Able to identify errors, discrepancies, or missing information;
- Comfortable working across multiple organizations and accounts;
- Able to prioritize work and meet recurring financial deadlines;
- Confident using accounting, payroll, and Microsoft-based business systems;
- Comfortable asking questions when information does not reconcile or make sense;
- Able to communicate clearly with organizational leadership; and
- Interested in helping build effective systems within a growing organization.

Qualifications

Preference will be given to candidates with:

- Previous bookkeeping, accounting, payroll, or financial administration experience;
- Experience completing bank and credit card reconciliations;
- Experience with accounts payable and accounts receivable;
- Experience with payroll administration;
- Experience using bookkeeping or accounting software;
- Strong Microsoft Excel skills;
- Experience maintaining confidential employee or financial records; and
- Post-secondary education in bookkeeping, accounting, business administration, finance, or a related field.

Experience working with professional services, law firms, trust accounting, or multiple related organizations is considered an asset.

Candidates with strong bookkeeping experience who have not previously worked in a formal HR or people role are still encouraged to apply. The people component of this position is primarily administrative, and organizational processes and support will be provided.

Hours and Growth





This position will begin at approximately 24 hours per week.

RCOS and the organizations it supports are continuing to grow, and the volume and complexity of bookkeeping, payroll support, financial administration, and people administration are expected to grow alongside them.

As organizational needs increase, the position is expected to transition toward full-time employment.

The timing of that transition will depend on workload, organizational growth, and operational need, but this role is being established with a longer-term view rather than as a permanently limited part time position.

The successful candidate should therefore be interested in the opportunity to grow with the organization and move into a full-time role as the position develops.

Compensation The RCOS compensation structure for this position ranges from:

$23.25 to $32.50 per hour

Placement within the salary scale will reflect the successful candidate’s relevant education, experience, demonstrated competency, and ability to independently perform the responsibilities of the position.

The market reference point for the position is approximately Step 5 of the RCOS compensation scale.
