Job Summary
We are seeking a highly organized, detail-oriented, and proactive Immigration Caseworker to join our growing RCIC office. In this role, you will be one of our engines behind our application pipelines, managing client files from intake to final submission. The ideal candidate has an exceptional eye for detail, an understanding of IRCC forms and portals, and excellent communication skills.
While you will work closely with clients to gather documents and draft applications, all strategic legal advice and final file sign-offs remain the sole responsibility of the supervising RCIC.
Key Responsibilities
1. Application Preparation & Case Management
- Draft IRCC application forms accurately for various pathways, including Temporary Residence (Study/Work Permits, Visitor Visas) and Permanent Residence (Express Entry, PNP, Family Sponsorship).
- Compile, organize, and review supporting document packages to ensure strict compliance with IRCC document checklists.
- Write draft submission letters, explanations, and cover letters under the guidance and direction of the RCIC.
- Monitor processing times, track critical deadlines (e.g., status expirations, PGWP deadlines), and ensure all files move forward on schedule.
2. Client Communication & Intake
- Act as the primary point of contact for active clients, answering routine procedural questions and providing explicit instructions on document collection.
- Conduct initial client intakes, screening prospective clients against baseline criteria and summarizing case details for the RCIC.
- Follow up regularly with clients to retrieve missing or updated documents (e.g., updated bank statements, police certificates, language test results).
- Coordinate certified translation and notarization services for international documents.
3. Administration & Compliance
- Maintain meticulously organized digital and physical client files using our case management software.
- Actively monitor the IRCC Authorized Representative Portal for updates, procedural fairness letters (PFLs), biometric requests, or medical instructions, and immediately brief the RCIC.
- Ensure all actions align with the College of Immigration and Citizenship Consultants (CICC) compliance and confidentiality standards.
Qualifications & Skills
- Experience: Minimum 1–2 years of experience working as an immigration caseworker, legal assistant, or file manager in a Canadian immigration law firm or RCIC office.
OR
- Education: A Canadian Bachelor's Degree (Completion of an Immigration Practitioner Program is an asset but not required).
Experience in the relevant field OR mentioned education is required.
- Technical Proficiency: Hands-on experience with the IRCC Portal, Representative Portal, and immigration CRM tools (e.g., Officio, CasePrep) are assets.
- Attention to Detail: Absolute precision in cross-referencing dates, names, and histories across multiple forms to ensure zero inconsistencies.
- Communication: Exceptional verbal and written English communication skills; ability to explain complex paperwork requirements to non-native speakers with patience and clarity.
- Languages (Asset): Fluency in a second language highly prevalent in current immigration trends is a major asset.

Job Type: Full-time
Pay: $17.00-$20.00 per hour
