Operations & Office Manager — Technology Company

Company: ITBCPRO Solutions Inc.

Location: Burnaby, BC — primarily in-office

Employment: Part-time, with potential to become full-time

Pay: CA$20.00–CA$25.00 per hour, depending on experience

Schedule: Monday to Friday, approximately 9:00 AM– 5:00 PM; exact hours agreed at hiring

ITBCPRO Solutions Inc. is a growing Canadian technology company based in Burnaby, British Columbia. We provide custom software development, SaaS products, AI automation, managed IT services, cloud solutions and cybersecurity.

Our clients include nonprofits, healthcare organizations, professional services firms and growing businesses. We also develop our own software products, including ShiftVale, a workforce scheduling platform.

About the role

We are looking for a proactive, organized Operations & Office Manager to work closely with company leadership and help keep our business, teams and client projects moving forward.

This is a hands-on role combining daily operations, office administration, meeting leadership, project coordination and client communication. You will turn discussions into clear action plans, follow up on commitments and help ensure work gets completed.

Your main priorities will be keeping the office organized, coordinating team activities and supporting reliable delivery across our software development and IT services divisions.

You should enjoy taking ownership, working with people and bringing structure to a growing technology company.

Key responsibilitiesBusiness operations and team coordination

- Coordinate daily activities across our software development and IT services teams.
- Maintain a shared view of priorities, deadlines, responsibilities and outstanding tasks.
- Lead regular operational and project meetings, prepare agendas and record decisions.
- Assign and follow up on agreed action items, keeping team members accountable for commitments.
- Identify delays, competing priorities and resource gaps, and escalate issues to leadership.
- Prepare a concise weekly update covering delivery progress, client issues and decisions needed.
- Develop practical checklists, procedures and workflows that improve consistency and efficiency.

Office administration and leadership support
- Manage meeting arrangements, shared calendars, office supplies and vendor coordination.
- Organize company records, contracts, proposals and project documentation.
- Support invoice preparation, expense tracking and payment follow-ups in coordination with leadership and bookkeeping.




- Coordinate administrative onboarding for employees, contractors and clients.
- Help maintain onboarding and offboarding checklists with the appropriate team members.
- Prepare correspondence, presentations and meeting materials.
- Handle confidential company, employee and client information with discretion.

Product and project delivery
- Coordinate project timelines, milestones and follow-ups with developers, IT specialists and clients.
- Keep Jira or other project-tracking tools current and make outstanding work visible.
- Work with technical leads to document requirements, priorities and acceptance criteria.
- Coordinate demonstrations, testing, client feedback, user acceptance testing and handovers.
- Track changes to scope and flag their impact on timelines or costs.
- Support ShiftVale development, customer validation, pilot coordination and launches.
- Confirm that delivery commitments have clear owners and agreed next steps.

Client communication and business support
- Schedule and help lead client meetings, document requirements and circulate action items.
- Keep clients informed about project progress, upcoming activities and outstanding decisions.
- Coordinate client onboarding, training sessions and follow-up support.
- Help prepare proposals, statements of work and product presentations.
- Maintain CRM records and follow up on inquiries and agreed sales activities.
- Coordinate marketing tasks and events with the relevant team members.

Tools and process improvement
- Use Microsoft 365, project-management tools and CRM systems to organize work.
- Use ChatGPT, Microsoft Copilot or similar tools to assist with documentation, research and reporting.
- Identify repetitive administrative tasks that could be simplified or automated.
- Follow company requirements when handling confidential information or using AI tools.

What we’re looking for
- Relevant experience in business operations, office administration, project coordination or a similar role.
- Experience leading meetings and following through on decisions and action items.
- Strong organizational skills and the ability to manage several priorities.
- Clear,



professional written and verbal English communication.
- Confidence working with clients, technical teams, vendors and company leadership.
- Proficiency with Microsoft 365, including Outlook, Teams, Word and Excel.
- Ability to work independently, exercise judgment and recognize when an issue needs escalation.
- Comfort learning new software and using AI tools responsibly.

You do not need to be a software developer. You should be comfortable learning how technology projects work and coordinating with the people delivering them.

Preferred experience

- Working in a technology company, software business, IT consultancy, MSP or growing small business.
- Software or IT project delivery, customer onboarding or customer success.
- Jira, Confluence, HubSpot, SharePoint or similar platforms.
- Basic invoicing, expense administration and bookkeeping coordination.
- SaaS products, Agile workflows or business automation.
- Supporting nonprofit, healthcare or skilled services clients.

- Meetings end with clear decisions, owners and deadlines.
- Team members and clients know what happens next.
- Project delays and operational issues are identified early.
- Office records, schedules and administrative tasks stay organized.
- Leadership has a reliable view of progress and spends less time chasing updates.
