About Us
Canadian Comforts is a growing HVAC company. We're looking for a reliable, sharp bookkeeper to own the day-to-day financial administration of our business. This is not a "follow the checklist and stop" role. We want someone who understands why things are done, notices when something doesn't look right, and speaks up about it.
What You'll Do
Full-cycle payroll (in-house, using QuickBooks Payroll)
- Collect and verify employee hours each pay period
- Run payroll in QuickBooks, including calculating gross pay, overtime, vacation pay, and statutory deductions (CPP, EI, income tax)
- Generate pay stubs and pay employees accurately and on time
- Prepare and submit source deduction remittances to the CRA by their deadlines
- Prepare year-end payroll filings, including T4s and the T4 Summary
- Issue Records of Employment (ROEs) when employees leave or go on leave
- Set up new employees and maintain accurate payroll records (TD1 forms, pay rates, banking info)
- Stay current on payroll rules and provincial employment standards
- Follow up on discrepancies (missing hours, overtime, rate changes) before they become problems
Expense management
- Collect, review, and record employee-submitted receipts for business expenses
- Confirm that expenses are legitimate, properly documented, and coded to the correct category and job
- Follow up with employees when receipts are missing, unclear, or don't match
Banking
- Manage and record bank transfers and payments
- Perform regular bank reconciliations in QuickBooks
- Identify and investigate unusual or unexplained transactions
Invoicing and accounts receivable
- Create and send accurate invoices for jobs and customer orders
- Track outstanding invoices and follow up on late payments
- Keep customer records organized and up to date
Reporting and communication
- Provide a short weekly or bi-weekly update to the owner/manager: what was done, what's pending, and any issues needing attention
- Clearly explain problems, unusual situations, or anything that doesn't fit the normal process,
and suggest a solution where possible
- Keep the books organized and ready for year-end and tax filings
What We're Looking For Must-haves
- 2+ years of bookkeeping experience, including running full-cycle payroll independently
- Required: Hands-on experience processing payroll in QuickBooks Payroll (Online or Desktop)
- Strong working knowledge of Canadian payroll: CPP, EI, income tax deductions, CRA remittances, T4s, and ROEs
- Solid understanding of expense tracking, bank reconciliations, invoicing, and GST/PST
- Payroll Compliance Practitioner (PCP) certification or similar payroll training is an asset
Just as important: how you work
- You think, not just follow. When a situation doesn't match the usual process, you figure out the right approach or ask, rather than forcing the old method or skipping the task.
- You speak up. If something is unclear, missing, or doesn't add up, you raise it promptly. Nothing gets quietly ignored.
- You communicate clearly. You can explain a problem in plain language, in writing and verbally, so the owner can make a quick decision.
- You understand priorities. You know the difference between "fix this today" (e.g., a payroll error or overdue customer payment) and "this can wait," and you act accordingly.
- You take ownership. You treat the company's books as your responsibility and keep them accurate and up to date without needing constant reminders.
