Automotive Program Assistant – SmartVMA

Wagonmaster Group is looking for a SmartVMA Assistant to support the implementation, training, and ongoing success of our SmartVMA program with automotive dealerships.

SmartVMA is a dealership tool designed to help dealerships manage performance, improve processes, and achieve key business goals. In this role, you will work closely with dealership management, advisors, and Wagonmaster's Business Development team to coordinate implementations, provide training and support, manage reporting, and help dealerships get the most from the program.

The ideal candidate has automotive dealership Fixed Operations experience and strong DMS knowledge, is highly comfortable with technology, and enjoys working directly with customers.

What You'll Do

- Coordinate SmartVMA program installations and implementation with automotive dealerships.
- Work with the SmartVMA platform and dealership DMS to ensure successful implementation.
- Collect required documentation and agreements from customers.
- Work with Business Developers to provide training and customer support during implementation and beyond.
- Make back-end changes within SmartVMA to support each dealership's customized program.
- Build and maintain strong working relationships with dealership management and advisors.
- Provide regular reporting and performance information to dealership management.
- Help dealerships understand and use relevant reports to manage and improve their business.
- Prepare for upcoming installations and conduct consistent follow-up with existing customers.
- Train and support Business Developers in SmartVMA implementation.
- Work closely with Wagonmaster management regarding customer feedback, installations,



and program launches.
- Maintain accurate customer, mileage, and expense reports.
- Use Wagonmaster's CRM and sales education tools as required.
- Stay current with SmartVMA functionality, customer requirements, and program updates.
- Travel regularly to customer locations, with occasional international travel as required.

What We're Looking For
- Dealership Fixed Operations experience is an asset.
- DMS experience, including knowledge of op-code structure, is required.
- Strong understanding of dealership Fixed Operations and the ability to communicate effectively with dealership personnel.
- Strong computer skills and the ability to quickly learn current software applications.
- Advanced proficiency with Microsoft Office, particularly Word, Excel, and Outlook.
- Excellent verbal and written English communication skills.
- Strong organizational skills and the ability to manage multiple customer requirements and deadlines.
- Strong presentation, training, coaching, and relationship-building skills.
- Analytical and problem-solving ability with strong attention to detail.
- Self-motivated and proactive, with the ability to work independently.
- Collaborative team player who enjoys working with customers and internal teams.
- Valid driver's license in good standing.

What You'll Bring





You understand how an automotive dealership operates and are comfortable working with dealership management and advisors. You can learn new technology quickly, explain it clearly to others, and provide the follow-through needed to ensure customers are successful.

Working Conditions

This position involves regular domestic travel and occasional international travel. Work will take place in a variety of settings, including the office, customer dealerships, and remote locations.

The role requires the ability to sit and stand for extended periods, perform computer-based work, write legibly, and conduct live coaching and training sessions.

Working Conditions

Regular domestic travel and occasional international travel is required. Duties performed in a variety of locations including office space, customer locations and remote locations.

Physical Requirements

Must be able to sit & stand for prolonged periods of time with adequate manual dexterity to write legibly and perform computer duties as well as perform live coaching sessions.
