Acting as a trusted business partner, the role enables executive effectiveness through proactive planning, operational coordination, stakeholder management, and execution of key business priorities.
The Executive
Assistant plays a critical role in supporting business operations, driving efficiency, coordinating strategic initiatives, and fostering collaboration across teams. Serve as a trusted partner to senior leaders by providing proactive administrative, operational, and strategic support. Coordinate and support executive meetings, leadership forums, and strategic planning sessions.
Maintain tracking systems for priorities, projects, action items, and key deliverables. Monitor and escale issues, risks, and deadlines as appropriate. Prepare professional communications, presentations, correspondence, and leadership materials.
Coordinate planning and execution of internal meetings, leadership offsites, town halls, client events, and employee engagement activities. Manage logistics including venue selection, meeting materials, catering, technology requirements, and attendee coordination. Financial & Administrative Management Manage budgets, invoices, expense reporting, reimbursements, and procurement activities in accordance with organizational policies.
Ensure all administrative activities comply with established governance and control requirements. Travel & Logistics Coordinate complex domestic and international travel arrangements. Prepare detailed itineraries and contingency plans to support seamless executive travel.
Process
Improvement & Governance Identify opportunities to simplify, standardize, and improve administrative processes. Contribute to operational excellence initiatives and implementation of best practices. Ensure adherence to governance, risk management, compliance, and regulatory requirements.
Leadership & Community Contributions Mentor and provide guidance to peer administrative professionals. Share best practices and contribute to the development of the broader administrative community. Support diversity, inclusion, employee engagement, and professional development initiatives.
Digital
Enablement & AI Leverages Microsoft Copilot, automation tools, and digital productivity solutions to improve executive effectiveness and team efficiency. Builds trusted relationships with senior leaders Supports strategic planning and execution Maintains strong organizational and project management practices Delivers high-quality work under tight deadlines Produces polished executive-level communications Continuous Improvement Identifies process improvement opportunities Leverages digital tools and technology effectively Typically 5+ years of progressive experience in executive administration, business support, operations, or a related professional support role. Proficiency in both French and English is required to effectively collaborate with colleagues across Canada and support business operations conducted in both languages.
Post-secondary education in Business Administration or a related field preferred. Advanced proficiency with Microsoft 365 applications and collaboration platforms. Strong analytical,
organizational, problem-solving, and project coordination skills.
The salary range for this role is $75,000 up to $85,000 CAD (subject to the candidate meeting the specific skills, experience, education, and qualification requirements. You're fluent in French and English to support business operations outside the province of Quebec. Salaries for part‑time roles will be pro‑rated based on number of hours regularly worked.
