The Accounts Payable/Receivable Clerk is responsible for maintaining accurate financial records by processing and reconciling accounts payable and receivable transactions. This role ensures that vendor payments are completed on time and client invoices are issued and collected according to company policies and contractual terms. The position requires attention to detail, organizational skills, and the ability to work effectively with internal departments and external partners.
Key Responsibilities
Process and reconcile daily accounts payable (AP) and accounts receivable (AR) transactions using accounting software and Excel.
Review, verify, and enter vendor invoices and ensure timely payments in accordance with agreed terms.
Prepare and issue client/customer invoices; follow up on outstanding payments to ensure timely collection.
Reconcile bank and credit card statements monthly.
Verify accuracy of invoices, including matching invoices to purchase orders.
Upload and organize financial documentation in the accounting system; coordinate with Procurement as needed.
Maintain various AP/AR-related spreadsheets and reports for internal use.
Respond to internal and external inquiries regarding AP/AR matters, providing support and clarification as needed.
Assist in the month-end closing process and support audits with documentation.
Perform other related accounting and administrative duties as assigned.
Requirements:
Post-secondary diploma or bachelor’s degree in accounting
Solid knowledge of accounting principles, standards, and procedures
Knowledge of relevant legislation and regulatory requirements
Proficiency in QuickBooks Online and/or Sage 300 accounting software
Intermediate ability in Microsoft Office Suite, with strong Excel (incl. macros, pivot tables, vlookup)
Experience working with intercompany and/or intracompany accounting would be an asset
Ability to work with minimum supervision using initiative and judgement in dealing with deadlines, workload, and uncertain situations.
Fluency in the English language both written and verbal is required
