Proudly late fine free, our libraries are the destination for our growing community to connect, share, and inspire.Position OverviewWhat we can offer youAt NVDPL, we believe in building community and relationships, nurturing innovation while honouring tradition, embracing exploration, creativity, and fun, and supporting human potential and enabling excellence.Reporting to the Business Manager, the Administrative Assistant is responsible for performing the receptionist function for the administrative offices; assisting with processing purchase orders and invoices for payment; scheduling shifts and preparing payroll data; processing incoming andoutgoing mail; filling staff orders for stationery and office supplies; providing clerical support for the administrative offices; and other related duties.What you'll be doingAspects of the role will include:Greeting visitors and responding to all incoming telephone calls to Administration; providing general information and directing enquiries to appropriate departmentsScheduling shifts for all Library staff,



and managing schedule changes to ensure adequate front-line coverageCompiling and reviewing timecard data for all Library staff; facilitating the reviewand verification of worked hours and leaves; and submitting to the payroll department for processingPreparing requests for purchase orders, and submitting to the purchasing department for processingReviewing invoices for accuracy and completeness, and addressing discrepancies; reconciling invoices topurchase orders; coding invoices and submitting them for approvalTracking financial transactions; processing donations; processing petty cash requests for the administrative offices; receiving and distributing incoming mail and deliveries; preparing outgoing mailand arranging for courier dispatchesWhat you'll need to succeedQualifications include completion of Grade 12 and related work experience. The successful candidate will have strong interpersonal and customer service skills, with the ability to interact courteously and effectively with the public while maintaining confidentiality. This role requires the ability to work in a team-based environment, demonstrating strong organizational skills, including prioritizing tasks and meeting deadlines while maintaining attention to detail and applying critical thinking. Proficiency in the Microsoft Office suite, in particular Excel, Word, and Outlook,
