Summary
In the role of Administrative Support, you are a dependable and consistent presence at the front of our organization. You manage reception and front-desk activities and provide administrative support that helps our team stay organized and informed. This role is grounded in accountability, attention to detail, and a strong team-first approach.
You will be the first point of contact for visitors and an important support to Health & Safety Culture, People & Culture, and the broader organization. Your work ensures daily operations run smoothly and that key administrative processes are completed accurately and on time.

Responsibilities
Provide administrative support across Health & Safety Culture,
People & Culture, and the broader organization as required
Answer and forward incoming phone calls, taking messages accurately as necessary
Greet and welcome customers, clients and guests as they arrive at the office
Receive, verify, and sort incoming deliveries, ensuring that packing slips are provided to Purchasing
Maintain facility security by following safety procedures and controlling gate access via the reception desk
Record absences and enter into time tracking system
Coordinate lockers and personal protective equipment for new hires
Manage boardroom schedules and meeting space coordination
Provide employee letters and general administrative documentation support
Maintain employee files within Payworks
Record and communicate absences, logging to attendance tracking system
Assist with filing and organization of training records, licenses, and certifications
Support the SOC program, including entering cards into the system
Log and file safety incidents within internal databases
Requirements
2+ years of experience in an administrative or office environment
Strong written and verbal communication skills
Ability to manage competing priorities and meet deadlines
Resourceful and proactive in addressing day-to-day issues
