Job Summary: The Administrative Assistant - Intermediate provides critical administrative support to the Appeals Commission, an administrative tribunal handling worker's compensation appeals in Alberta.
Reporting to the Senior Appeals Assistant, this role manages all aspects of appeal hearing administration, including pre-hearing preparation, hearing day coordination, and post-hearing documentation.
The position acts as the main point of contact for parties involved in appeals, supports internal stakeholders, and ensures accurate processing and publication of hearing decisions.
Responsibilities: Prepare and distribute correspondence for Appeals Officers to participating parties.
Create and maintain the Document Index for Appeal Documents Packages.
Inform Appeals Officers of current submissions or changes during hearings and follow up on adjournments.
Manage hearing communications and resolve situational irregularities before and during hearings.
Coordinate teleconference and video conference setups and instruct parties on participation methods.
Attend and record hearings, troubleshoot technical issues, and respond to party inquiries.
Support clients during distress, emergencies, or crisis situations.
Maintain accurate ACES status updates related to hearing decisions and correspondence.
Audit, format, proofread, and prepare Hearing Chair decisions for distribution and public access.
Communicate with Hearing Chairs regarding edits, errors, and publication readiness of decisions.
Required Skills & Certifications: High School Diploma or GED.
Minimum 2 years of relevant experience in a similar administrative role.
Proficiency with Microsoft Office Suite tools.
Experience working independently and in team environments within fast-paced roles.
Experience working with clients and stakeholders to gather and analyze business data and process requirements.
Completion of mandatory training including Freedom of Information and Protection of Privacy Act and Security Awareness training.
Ability to pass standard background and criminal record checks.
Preferred Skills & Certifications: Post-secondary education in office administration (degree, diploma, or certificate).
Experience with Information Governance, records management, and information management.
Knowledge of privacy and security issues related to ATIA and POPA (formerly FOIP).
Experience working within the Government of Alberta or comparable Canadian public-sector ERP environments.
Experience with workers' compensation systems such as WCB.
Special Considerations: This is an onsite position located on the 23rd Floor, AMEC Place, Calgary.
Equipment and office space are provided by the Government of Alberta.
Candidate must adhere to confidentiality and privacy regulations.
Must disclose any conflicts of interest prior to contract award.
Responsible for own parking; public transit and paid parking options are available.
Scheduling: Full-time role with standard hours from 08:00 to 14:00 Alberta time, Monday through Friday, excluding provincial holidays.
