Administrative Assistant - Permanent Part time

Summary of the Role Responsibilities The Prince George Hospice Palliative Care Society is looking for an Administrative Assistant. In this position, you will be responsible for providing administrative support to the Executive Director and the Solace Centre. This is a full time position 27.5 hours/week, Monday to Friday 10:00 a.m. to 4:00 p.m.

Duties and Responsibilities

- Answer, screen and transfer inbound phone calls
- Receive and direct visitors and clients
- Maintain electronic and hard copy filing system
- Resolve administrative problems and inquiries
- Prepare written responses to routine enquiries
- Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
- Prepare and modify documents, including correspondence, reports, drafts, memos, brochures and emails
- Prepare agendas and schedules for meetings
- Record, compile, transcribe and distribute minutes of meetings
- Open, sort, and distribute incoming correspondence
- Maintain office supply inventories
- Coordinate and maintain records for staff, telephones, parking, and petty cash
- Supervise and train reception volunteers
- Other duties as required

Qualifications

- Post secondary training in office administration or related field
- Knowledge of clerical and administrative procedures and systems such as filing and record keeping




- Excellent computer skills and knowledge of relevant software (Microsoft Office, Excel, PowerPoint)
- Clear criminal record check

Skills Required:

- Excellent time management, organization, and prioritization skills
- Excellent written and oral communication skills
- Able to work independently or as part of a team
- Strong attention to detail and accuracy
- Confidentiality in all matters
- Have a respectful, friendly, and professional manner when dealing with the public, guests, family members and coworkers
- Must have sensitivity and understanding of issues unique to hospice and palliative care
- Able to use sound judgment when applying principles and policies
