Our team manages investment portfolios and retirement savings for hundreds of families across Burlington, Oakville and the surrounding area, and advises them on tax, retirement and estate planning alongside their investments.
We're a close-knit team that takes pride in doing excellent work and giving clients the kind of service that keeps families with us for generations. Our new Administrative Assistant will be a core part of that, with the training, support and resources to grow in the role.
The Administrative Assistant will:
Ensure effective client administration by:
· Assisting with onboarding new clients and ensuring a positive client experience during the process. You will prepare account opening documentation, and ongoing documentation updates. Attention to detail and openness to learning new technologies are critical skills.
· Preparing client meeting materials, including statements and investment reports.
· Ensuring client files are up to date and organized for our compliance records.
· Managing the team’s calendar, including scheduling client review meetings on a regular interval schedule.
· Responding to client inquiries in a professional and responsive manner and ensuring interactions are accurately documented. This includes monitoring emails, prioritizing, responding to client phone call and email inquiries.
· General office and administrative duties as required.
· The Administrative Assistant will sit at the reception desk. There are on average 2 clients per day, so Receptionist duties will take up a limited portion of the time. However, the Administrative Assistant must be able to greet clients in a warm and professional manner.
Provide marketing assistance to the advisor by:
· Organizing client events and sponsorship activities
· Assisting with social media strategy and ongoing management of social media accounts
Contribute to the effective functioning of the team by:
· Building effective working relationships across the team and with corporate head office
· Maintaining a high level of client service standards
· Facilitating a culture of open and honest communication
· Encouraging the generation of new ideas and process improvements
· Actively sharing knowledge and experience to enhance the development of all team members
· Committing to professional development
Educational Requirements
· Pursuing a Licensed Assistant designation is preferred; completion of (or working towards) Canadian Securities Course (CSC) and Conduct and Practices Handbook course (CPH)
· Post-secondary education College or University.
· Must be proficient using Microsoft Word, Excel and PowerPoint.
· Someone who is familiar with financial industry concepts is preferred (mutual funds, stocks, exchange traded funds, RRSPs, TFSAs, RESPs, etc.)
Working Conditions The office is a fast-paced, productive environment with multiple demands and the ability to multi-task is crucial.
This is an In Office role. During the training phase, it is expected that the Administrative Assistant will spend five days a week in the office. After a probation period of 3-6 months, if trust is earned and responsibility has been demonstrated, the Administrative Assistant may be able to work remotely for 1 or 2 days a week.
Pay: $60,000.00-$70,000.00 per year
