Administrative Coordinator – Part time to Full-Time (Hybrid)

Third Generation Painters is a premium residential painting company built on nearly 50 years of family experience across three generations servicing primarily Kelowna & Vernon.
We specialize in high-end residential painting, exterior wood restoration, interior repaints, and cabinet refinishing throughout the Okanagan.
As we expand our operations into Kelowna from Vernon, we're looking for an experienced, highly organized Administrative Coordinator to help manage the day-to-day office operations of our growing business.
About the Opportunity
This is an ideal position for someone with a strong administrative background who enjoys keeping things organized, communicating with customers, and making sure nothing falls through the cracks.
You'll work closely with the owner, helping manage incoming inquiries, customer communication, scheduling, and administrative systems.
We're looking for someone who can take ownership of these responsibilities, work independently, and become a dependable part of our team.

Work Location & Schedule
This is a hybrid position supporting our operations in both Vernon and Kelowna.
- Approximately 20 hours per week initially, with the opportunity to grow to 30–40 hours as responsibilities expand.
- Consistent weekday availability during business hours is required.
- Combination of remote work and regular in-person office time.
- Our operations are currently based in Vernon, with plans to establish a greater office presence in Kelowna as we expand.
We're open to candidates seeking either long-term part-time employment or a pathway to full-time work. Our priority is finding the right person and building a sustainable, long-term position around their strengths as the business grows.
Key Responsibilities
- Manage incoming phone calls, emails, and customer inquiries.
- Maintain our CRM (DripJobs), ensuring customer information and follow-ups are organized.
- Contact incoming leads, qualify inquiries, and schedule estimates.
- Coordinate the owner's calendar and appointments.
- Communicate with customers regarding project scheduling, colour selections, and upcoming work.
- Assist with scheduling and coordination between customers and painting crews.
- Manage review requests and customer follow-ups.
- Maintain spreadsheets, records, and basic weekly reporting.
- Help improve administrative processes and office efficiency.
Who We're Looking For
- Previous experience in office administration, customer service, or a similar coordination role.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Professional and friendly telephone manner.
- Comfortable working with calendars, spreadsheets, email, and CRM software.
- Ability to manage competing priorities without constant supervision.
- Dependable, punctual, and comfortable maintaining a consistent work schedule.
- Able to work independently while communicating proactively with the team.
- Someone who takes initiative, anticipates what needs to be done, and follows through.
