Position Overview We are looking for an experienced, detail-oriented Advanced Medical Receptionist & Administrative position to anchor our front-of-house operations. This is not an entry-level clerk role—we need a proactive coordinator who excels at managing patient flow, handling clinical scheduling, navigating insurance billing, and maintaining seamless communication between patients and clinical staff.

Key Responsibilities

- Front Desk Operations: Manage clinic reception, greet patients warmly, facilitate check-in/out procedures, and ensure an organized, efficient lobby environment.
- Appointment & Schedule Management: Coordinate patient appointments, diagnostic testing slots, follow-ups, and emergency triage with precision.
- Insurance & Direct Billing: Verify Alberta Health Care coverage, submit third-party direct billing (e.g., Blue Cross, Sun Life, Canada Life), and process payments accurately.
- Patient Communication: Manage multi-line phone systems, triage patient inquiries, send appointment reminders, and follow up on specialist referrals.
- Optical & Administrative Support: Assist with patient intake paperwork, medical records maintenance (EMR), correspondence, and liaise with the optical dispensary team regarding eyewear pick-ups and order statuses.
- Workflow Optimization: Identify operational bottlenecks, uphold clinic protocols, and support administrative training for junior team members.

Qualifications & Experience

- Experience:



Minimum 2+ years of administrative or reception experience in a medical, optometric, or dental practice setting.
- Billing Proficiency: Working knowledge of Alberta Health Care billing rules and private insurance direct-billing portals (Telus eHealth, provider portals).
- Technical Skills: Proficiency with Electronic Medical Records (EMR) / practice management software, Microsoft Office, and standard office hardware.
- Communication: Exceptional verbal and written communication skills with a professional, compassionate bedside manner.
- Organizational Acumen: Solid multitasking abilities, attention to detail, and sound judgment when prioritizing patient needs in a fast-paced environment.
- Local Reliability: Must be based in or able to commute reliably to Fort McMurray, AB.
