Overview
We are seeking a dynamic and detail-oriented After-Sales Project Coordinator & Junior Quotes to join our team. This role is pivotal in managing post-sales projects, coordinating customer interactions, and supporting the quotation process to ensure seamless service delivery. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, strong communication abilities, and a passion for delivering outstanding customer experiences.
This paid position offers an exciting opportunity to develop expertise in project management methodologies, vendor relations, and product development within a collaborative setting.
Duties
· Stay highly organized – this is the most important part of the role. Keep every after-sales issue tracked, up to date and easy for anyone on the team to follow.
· Develop the Standard Operating Procedure (SOP) and a ticketing or case-tracking system for the After-Sales team, building on the existing After-Sales workflow, and keep both current as the process evolves.
· Get back to customers, sales reps and contractors quickly, and keep them informed until their issue is resolved.
· Gather the right information from the customer and get it to the Barbican team members who need it.
· Own the After-Sales workflow from first call to closeout, making sure nothing falls through the cracks.
· Make sure the After-Sales Tech has all the information, parts and tools needed before heading to the field.
· Coordinate with Production, Engineering, Shipping and Accounting on replacement parts, shipping and billing.
· Keep after-sales records and documentation complete and current.
· Share recurring issues with the team so we can prevent them in the future.
· When after-sales work is lighter, help the Inside Sales Team prepare quotes.
· Provide direct support to the Inside Sales Manager on projects and initiatives as required.
· Adapt to evolving company needs, taking on additional duties as necessary.
· A highly organized person who keeps track of many moving pieces and never lets things slip.
· Experience building a ticketing system or setting up a process for managing customer service issues – this is a strong asset.
· Someone who responds quickly and keeps customers in the loop.
· A clear, calm communicator, especially when a customer has a problem.
· A self-motivated, proactive individual who takes ownership and follows issues through to resolution.
· The ability to manage multiple projects and priorities at the same time.
· A strong team player who can step in to help with quoting when needed.
· Proficiency in Microsoft Excel and PDF editors.
· Hands-on experience with ticketing or help desk tools (e.g., Zendesk, Freshdesk, HubSpot Service Hub, Jira Service Management)
or a CRM service module.
· Experience or knowledge in lighting or a related field is a plus but not required.

Physical Requirements

· Must be able to lift replacement parts and samples occasionally
· Occasional travel to job sites in Canada and the U.S.
· Operation of desktop computer and peripherals
· Interaction with employees, management, customers and the public at large
