About the Position
We are seeking an experienced, organized and service-oriented Bilingual Administrative Coordinator to join our team in Port Colborne, Ontario.
As a first point of contact for clients and learners, you will provide professional support in both French and English while helping keep our training administration and daily office activities running smoothly. Your responsibilities will include responding to calls and emails, administering online training accounts, maintaining accurate records, preparing materials and supporting the team.
This position is well-suited to someone who enjoys working with people, takes pride in accurate and thorough administrative work, and can move confidently between different responsibilities and software platforms throughout the day.
Key Responsibilities
Client and Learner Support
- Answer and direct incoming telephone calls professionally in both French and English.
- Monitor and respond to inbound support emails, providing timely and courteous assistance.
- Help clients and learners with routine administrative inquiries and direct technical or program-specific questions to the appropriate team member.
- Follow up on outstanding administrative requests and coordinate with colleagues as needed.
- Document calls, emails, actions taken and required follow-up in our customer relationship management system (CRM).
Training and Program Administration
- Set up, update and administer online learning and training accounts.
- Send reminders, registration information and other communications to learners enrolled in training programs.
- Complete administrative setup and provide ongoing support for organizations participating in our health and safety programs, including HSEp.
- Enter, update and maintain accurate client, learner and program information within company systems.
- Review learner communications and administrative documents for accuracy, completeness and formatting before distribution.
Office and Document Administration
- Maintain organized electronic and physical filing systems.
- Print, assemble and bind training manuals and other materials.
- Check documents and materials for completeness and prepare them for mailing or distribution.
- Use Microsoft 365 applications, including Teams, Word, Excel, PowerPoint and Outlook, to complete daily administrative tasks.
- Learn and use Dunk & Associates’ internal software, systems and established processes.
- Handle client, learner and company information confidentially and follow established information-handling procedures.
- Assist with general office administration and organization.
- Provide additional administrative support and perform other duties as assigned.
Required Qualifications & Experience To be considered for this position, candidates must have:
- Professional fluency in both French and English, with the ability to communicate confidently and accurately by telephone and email.
- Previous experience using French regularly in a professional work environment.
- A minimum of five years of relevant work experience in office administration, administrative support or a similar role.
- Strong working knowledge of Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint and Teams.
- Completion of post-secondary education.
- Strong written and verbal communication skills, including professional telephone etiquette and the ability to prepare clear, accurate correspondence.
- Excellent attention to detail, with the ability to proofread documents and maintain accurate records.
- Strong organizational, time-management and customer service skills.
- The ability to prioritize competing responsibilities,
manage multiple tasks and meet deadlines.
- The ability to work independently, follow established processes and take responsibility for completing assigned work.
- Strong computer skills and the ability to learn new software and online platforms.
- Sound judgment and discretion when handling sensitive or confidential information.
- A professional, courteous and service-oriented approach when working with clients, learners and colleagues.
- Dependability, punctuality and reliable transportation to our Port Colborne office, as the location is not served by public transit.
Preferred Qualifications
- A bilingual designation or certificate demonstrating proficiency in French and English.
- Experience supporting customers, clients or learners in an office or professional services environment.
As this position involves access to sensitive client information, the successful candidate will be required to satisfactorily complete a background check as a condition of employment.
Work Environment
This is a full-time, in-office position with a regular schedule of Monday through Friday, 7:30 a.m.–4:00 p.m.
The office is located on a residential property in Port Colborne, Ontario, and dogs are present in the office setting.
Compensation & Benefits The salary range is $45,000–$52,000 per year, depending on the successful candidate’s relevant experience and qualifications.
