Overview The Bookkeeper / Administrative & Compliance Support position is responsible for maintaining accurate financial records and providing administrative, operational, building-compliance, and documentation support for the personal care home. The position works closely with the Resident Manager and The Board of Directors to support the safe, organized, compliant, and financially responsible operation of the facility.
The employee is responsible for coordinating records, scheduling and follow-up related to inspections, licensing, building systems, safety requirements, preventative maintenance, contractors, and required facility documentation. The position does not replace the authority or responsibilities of licensed professionals, qualified tradespersons, inspectors, regulators, or other authorities having jurisdiction. The employee is responsible to participate in the on call rotation.
Duties
- Manage day-to-day bookkeeping activities using accounting software such as QuickBooks Online (QBO) to ensure accurate recording of financial transactions.
- Handle accounts payable and accounts receivable processes, including invoice processing, payment scheduling, and collections.
- Perform regular account reconciliation and bank reconciliation to verify financial accuracy and identify discrepancies promptly.
- Conduct account analysis to monitor financial health, identify trends, and support budgeting efforts.
- Support compliance initiatives by preparing necessary documentation for audits, regulatory filings, and internal controls.
- Maintain organized records of financial documents, correspondence, and compliance-related materials for easy retrieval and review which would include Government remittances.
Experience
Required
- Previous bookkeeping, accounting, office administration, or related experience.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to maintain confidentiality.
- Proficiency with Microsoft Office, and QBO.
- Robust written and verbal communication skills.
- Ability to work independently and meet established deadlines.
- Ability to identify discrepancies and follow through on outstanding tasks.
