Reporting functionally to the Manager, PMO and Operations Administration, the Travel Coordinator provides guidance, coordination support and practical tools to help assigned employees, contractors and visitors plan safe, efficient and policy-compliant domestic and international travel. Travelers remain responsible for providing complete information, obtaining required approvals, reviewing their arrangements and meeting applicable travel requirements.The role works closely with travelers, program teams, internal functions and external service providers to help travelers understand requirements, evaluate practical options, prepare workable itineraries and address changes or issues. The coordinator may also be called upon to assist with program coordination.

More specifically, you will:

- Support travelers in arranging domestic and international travel, including air and rail travel, accommodations, ground transportation, vehicle rentals, transfers, visas and other required travel services. Travelers are responsible for submitting complete and accurate requirements, obtaining required approvals and providing documentation within established timelines.
- When requested, prepare proposed itineraries and practical travel options that account for connections, travel time, time zones, local transportation, site schedules and traveler-specific requirements, for review and confirmation by the traveler.
- Coordinate transportation as a core component of each travel plan, ensuring continuity from point of departure through arrival at the final destination and return.
- Prepare and distribute explicit travel documentation, itineraries, confirmations, contact information and traveler instructions.
- Coordinate logistics for visitors and subcontractors, including transportation, accommodations, site or building access, PPE, safety training and onboarding requirements.
- Monitor known travel risks, identify practical alternatives and provide timely coordination support when travelers experience cancellations, delays, missed connections, schedule changes or urgent requirements.



Travelers remain responsible for following provider instructions and promptly communicating any change requiring assistance.
- Liaise with travel providers, airlines, hotels, transportation companies and internal stakeholders to obtain options, clarify requirements and facilitate issue resolution. Travelers remain responsible for reviewing the information provided and confirming decisions affecting their travel.
- Ensure bookings and travel arrangements comply with company policies, approval requirements and budget guidelines.
- Review quoted costs, fees and conditions, and compare options to support sound and cost-conscious booking decisions.
- Work confidently with multiple currencies, exchange-rate considerations and country-specific payment or booking requirements.
- Apply travel rules consistently and use sound judgement to decline or redirect requests that are not approved, not compliant or not operationally reasonable, while maintaining a diplomatic and service-oriented approach.
- Maintain accurate travel records, confirmations and supporting documentation, and assist with travel expense reconciliation when required.
- Protect personal, confidential and travel-related information in accordance with company requirements.
- Provide coordination support across program teams, according to priorities established by the Manager, PMO and Operations Administration or designated leadership.
- Support meeting and event logistics when they are directly connected to travel, visitor coordination or program delivery requirements.
- Coordinate with Program Coordinators and project stakeholders to collect requirements, confirm schedules and align travel and logistics activities.
- Escalate conflicting priorities,



policy exceptions and resource constraints to the Manager for direction.

Qualifications

- Minimum of three years of experience in travel coordination, logistics, program coordination or a comparable role with complex scheduling responsibilities.
- college diploma in a relevant field
- Experience in corporate travel, transportation or international travel coordination is considered an asset.
- Bilingual in French and English, with the ability to communicate clearly with internal and external stakeholders.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint and Teams.
- Ability to manage multiple priorities, travelers, destinations and deadlines in a fast-paced environment.
- Strong logical thinking, attention to detail, judgement and solution-oriented problem-solving skills.
- Ability to interpret schedules across time zones and build realistic travel sequences and connections.
- Comfort working with currencies, travel costs, booking conditions and supporting documentation.
- Ability to apply rules, set boundaries and say no diplomatically when a request does not meet policy, approval or operational requirements.
- Strong discretion, follow-through and composure when managing sensitive information or unexpected travel disruptions.
- Be available, when operationally required, to support critical travel disruptions outside regular business hours.
