Experienced Dental Assistant |Clinical Operations & Treatment Coordinator Management Career Track

Markham Dental – Markham, Ontario

Ready to Move Beyond Traditional Dental Assisting?

You have built your clinical skills. You understand dentistry, patient care, clinical workflow, and what it takes to keep a busy dental practice running.

Now you are ready for the next stage of your career.

Markham Dental is looking for an ambitious, experienced Dental Assistant who wants to transition away from a primarily chairside role and develop into clinical operations, treatment coordination, and management.

This is not a traditional Dental Assistant position.

Chairside assisting will remain part of the role when clinical support is required; however, your primary responsibilities will expand across:

- Clinical floor management
- Treatment coordination and case follow-up
- Lab case management
- Digital records, photography, radiographs and iTero scanning
- Inventory and supply management
- Clinical systems and workflow
- Team coordination and operational support

For the right candidate, this position is designed to provide a pathway toward a future Clinical Manager / Clinical Operations leadership role.

About Markham Dental

Markham Dental – General and Cosmetic Dentistry is a progressive, comprehensive dental practice focused on advanced diagnostics, modern technology, exceptional patient experiences, and collaborative care.

Our practice includes comprehensive restorative and cosmetic dentistry, Invisalign, implant dentistry, airway and sleep dentistry, and other advanced treatments.

As our practice continues to grow, we are looking for someone who wants to grow with us—not simply as a Dental Assistant, but as a future clinical leader within the practice.

The Opportunity

You will use your dental assisting experience as the clinical foundation for a much broader role.

Rather than spending your entire day assigned to one provider or operatory, you will help coordinate the entire clinical patient journey—from diagnostic records and treatment planning through lab coordination, treatment acceptance, scheduling, clinical delivery, and case completion.

You will work closely with our dentists, hygienists, assistants, administrative team, laboratories, suppliers, and patients to ensure treatment moves forward efficiently.

Your role will focus on five key areas:

1. Clinical Floor Management

You will help oversee the daily organization and flow of the clinical department.

Responsibilities include

- Monitor patient and provider flow throughout the day
- Coordinate operatories, equipment, and clinical resources
- Ensure rooms and materials are properly prepared for scheduled procedures
- Anticipate scheduling bottlenecks, delays, and clinical needs
- Coordinate support between dentists, hygienists, and assistants
- Ensure clinical protocols and systems are consistently followed
- Communicate between clinical and administrative departments
- Troubleshoot day-to-day clinical operational issues
- Identify workflow inefficiencies and help implement solutions
- Help maintain an organized, productive, and professional clinical environment

The goal is not simply to react when the floor becomes busy—you will learn to anticipate what the practice needs before problems occur. 2. Treatment Coordination & Patient Follow-Up

You will work alongside our dentists and administrative team to help patients move from diagnosis to accepted and completed treatment.

Responsibilities may include

- Review treatment recommendations and next steps with patients
- Reinforce information discussed by the treating dentist
- Help patients understand treatment sequencing and timelines
- Coordinate appointments for multi-visit and comprehensive treatment
- Assist with treatment estimates and financial discussions
- Discuss available payment and financing options
- Follow up on outstanding and unscheduled treatment
- Track larger and comprehensive treatment cases
- Coordinate communication between the patient, provider, administrative team, and laboratory
- Ensure patients do not become lost between consultation, treatment presentation, and scheduling
- Support a professional and organized case acceptance process

As your skills develop, you will take on increasing responsibility for case presentation, patient follow-up, and treatment conversion. 3. Lab & Case Management

You will take ownership of ensuring laboratory cases are properly tracked from submission through delivery.

Responsibilities include

- Coordinate outgoing and incoming laboratory cases
- Complete and verify laboratory prescriptions and required documentation
- Ensure digital scans, photographs, shade information, and supporting records are submitted correctly
- Track laboratory case due dates
- Confirm cases are received before scheduled patient appointments
- Follow up with laboratories regarding outstanding or delayed cases
- Coordinate remakes, adjustments, and case-related communication
- Maintain organized tracking of crowns, bridges, implant restorations, dentures, appliances, nightguards, Invisalign-related records, and other laboratory cases
- Communicate laboratory updates to providers and administrative team members
- Help prevent appointments from being disrupted because of missing or incomplete laboratory work
- Maintain organized digital and physical lab case systems

The successful candidate should become the person the team can rely on to know where every active laboratory case stands. 4. Digital Records & Clinical Technology A significant component of this position involves supporting comprehensive diagnosis and treatment planning.

Responsibilities include

- Take comprehensive patient records
- Capture high-quality intraoral and extraoral clinical photographs
- Perform iTero digital scanning
- Take digital radiographs within scope
- Support Invisalign records and digital workflows
- Collect records for restorative, cosmetic, implant, orthodontic, airway, and other comprehensive cases
- Organize diagnostic information for provider review
- Ensure required records are complete before consultations and treatment planning
- Maintain accurate clinical documentation
- Help standardize record-taking protocols across the clinical team

You should be comfortable with technology and interested in becoming highly proficient with digital dentistry and clinical workflows. 5. Inventory & Clinical Systems Management

You will take ownership of clinical inventory and supply organization.

Responsibilities include

- Monitor inventory and maintain appropriate par levels
- Coordinate clinical supply ordering
- Receive and verify orders
- Track backorders and outstanding items
- Monitor expiration dates and product rotation
- Maintain organized and clearly labelled storage areas
- Conduct regular inventory counts
- Prevent unnecessary over-ordering and shortages
- Identify opportunities to reduce waste
- Communicate with vendors regarding products, pricing, and availability
- Help leadership monitor and control clinical supply expenses
- Develop and improve inventory systems as the practice grows

We are looking for someone who approaches inventory as an operational and financial responsibility, not simply the task of placing orders.

Chairside Clinical Support

Chairside assisting will continue to be part of the position, but it is not the primary focus of this role.

You may step in when needed to support:

- Restorative and cosmetic dentistry
- Crown and bridge
- Invisalign
- Implant and surgical procedures
- Comprehensive treatment
- Room setup and turnover
- Clinical coverage during busy periods

Your Dental Assistant background gives you the ability to understand the clinical environment and step in wherever needed. Your broader responsibility, however, is to help ensure the entire clinical operation and patient treatment journey runs effectively.

Who We Are Looking For

We are specifically looking for an ambitious dental professional who wants career progression.

You may currently be an experienced Dental Assistant who enjoys dentistry but knows that you do not want to remain exclusively chairside for the rest of your career.

You want to develop skills in:

Leadership. Management. Treatment coordination. Case acceptance. Clinical operations. Systems. Business.

You may already be the person on your current team who:

- Keeps everyone organized

- Notices when the schedule is falling behind
- Tracks down missing lab cases
- Helps patients understand their next steps
- Makes sure supplies are available
- Helps newer team members
- Troubleshoots problems
- Improves systems without being asked
- Communicates between the front and back of the practice
- Takes ownership when something needs to get done

If that sounds like you, this position is designed to turn those natural abilities into formal clinical leadership and management skills.

Qualifications

- Previous Dental Assistant experience is required
- Strong understanding of dental terminology, procedures, instruments, and materials
- Experience taking digital radiographs
- Strong understanding of clinical workflow
- Excellent organizational and time-management skills
- Strong patient communication and interpersonal skills
- Comfortable discussing treatment with patients
- Comfortable working with computers and digital dental technology
- Ability to manage multiple cases and priorities simultaneously
- Highly accountable, dependable, and proactive
- Strong follow-through
- Interested in leadership, operations, treatment coordination, and practice management

Experience with iTero, Invisalign, clinical photography, implant dentistry, cosmetic dentistry, laboratory case management, inventory management, treatment coordination, or comprehensive dentistry is highly valued. Previous management experience is not necessarily required.

We are more interested in finding an experienced dental professional with the initiative, maturity, organization, communication skills, and ambition to develop into management.
