JOB SUMMARY
Reporting to the Director of Human Resources, the Documentation Specialist is responsible for establishing, implementing and maintaining documentation standards for Wasaya Airways LP, which includes developing consistent document templates and reformatting manuals into the new templates, training employees on how to use templates (and other aspects of writing and formatting), creating guidelines and training employees on how to write policies and procedures, ensuring document content is grammatically correct and the complexity is suitable for intended audiences, and providing general support for all departments on all aspects of documentation.
The Documentation Specialist is also responsible for creating, implementing, managing and administering document and content management systems, and establishing processes (and providing training) for managers and employees on how to use these systems.
The Documentation Specialist must write new processes and procedures and edit existing processes and procedures to ensure that they are consistent, understandable, trainable and auditable.
DUTIES & RESPONSIBILITIES
Ø Establish, maintain, and enforce corporate documentation standards across the organization.
Ø Develop and maintain document templates that align with Company documentation standards, support consistency, and enhance the Wasaya brand.
Ø Reformat and update existing Company manuals and documentation using approved Wasaya templates and standards.
Ø Administer and maintain the Company's document management system, Wasaya Connect (SharePoint).
Ø Develop processes, procedures, user guides, and training materials related to the effective use of Wasaya Connect (SharePoint).
Ø Provide training and support to employees on document management practices and system usage.
Ø Proofread, edit,
and review Company documents to ensure compliance with established guidelines, accuracy, consistency, and technical requirements.
Ø Receive, review, and incorporate updated technical data from internal and external sources into current and future documentation.
Ø Coordinate with Transport Canada and other regulatory agencies to ensure approved manuals and documentation remain compliant with applicable regulations and standards.
Ø Monitor document revisions and maintain version control to ensure the accuracy and integrity of Company records.
Ø Support continuous improvement initiatives related to document management and documentation processes.
Ø Perform other related duties and responsibilities as assigned.
SKILLS & QUALIFICATIONS
Education and Experience
Ø High school diploma or equivalent General Education Diploma (GED) required.
Ø Technical writing, editing, or document management experience preferred.
Ø Experience within the aviation industry is considered an asset.
Knowledge and Skills
Ø Strong ability to read, analyze, and interpret technical manuals, periodicals, qualified journals, regulations, and technical procedures.
Ø Demonstrated ability to translate complex technical information and specifications into clear, user-friendly documentation, procedures, and training materials.
Ø Excellent command of grammar, spelling, punctuation, usage, and writing style.
Ø Advanced proficiency with Microsoft 365 applications, SharePoint Online,
Adobe Acrobat Pro, Adobe Photoshop, and Microsoft Visio.
Ø Proven ability to quickly learn new software applications and effectively train others in their use.
Ø Strong understanding of current technical communication principles, trends, and industry standards.
Ø Excellent verbal and written communication skills.

Ø Ability to communicate in Oji-Cree and/or Ojibway is considered an asset.

Ø Physically able to perform all listed job duties
Ø Travel by aircraft and other means as required by role
Ø Most work performed in an office environment
Ø Manual dexterity required to use desktop computer and telephone
Pay: $55,000.00-$65,000.00 per year
