Role & Responsibilities:
Reporting to the Director of Marketing, the Donor Care Associate helps create meaningful donor experiences by providing caring, timely support and assisting with Bible League Canada’s donor engagement efforts. As a primary point of contact for donors, visitors, and other stakeholders, this individual responds to inquiries with warmth, professionalism, and genuine care, helping to ensure every interaction reflects the organization’s commitment to exceptional service. This is a newly created position.
The successful candidate will be motivated by serving others and will excel in a collaborative team environment, demonstrate solid interpersonal and communication skills, follow established procedures and scripts with accuracy, and confidently refer complex inquiries or concerns to senior Marketing staff when appropriate.
Donor Care
- Conduct donor thank‑you calls by telephone within 24–48 hours of gifts received, using established guidelines.
- Understand current donor appeals, events, and outreach activities sufficiently to reference them accurately in donor conversations.
- Support the Marketing Team’s re‑engagement efforts with donors who have not given in the past 12–15 months through phone calls, as assigned.
- Accurately input all activities, call outcomes, and donor notes into the ministry’s database (Salesforce).
- Update addresses/mail preferences, remove donors from mailing list upon request. (When needed call to confirm regarding donations, address changes, etc.).
Donor Support:
- Receive and respond to inbound calls, including telephone donations, professionally and with courtesy.
- Transfer incoming calls to various staff.
- Receive all incoming general emails and, in response, either reply or forward the inquiry to the appropriate team/person.
- Escalate any donor concerns, questions about giving, or complex conversations to designated senior staff.
- Occasional general office tasks as assigned by Supervisor, which may include assisting with preparing mailings, liaising with service providers and delivery agents, and other ad hoc duties.
Chapel/Prayer Time:
- Participate in regular staff chapel services and pray for and minister to colleagues, donors, visitors and people who contact Bible League Canada either in person, or by phone or other electronic communication. These ministry and prayer opportunities include but are not limited to weekly chapel and devotions, meetings, general inquiries, and conferences and events.
* Additional responsibilities may be assigned in consultation with and at the discretion of the supervisor.
Education:
- High School diploma required; some College level courses appropriate to the position or equivalent experience are a definite asset.
- Training or coursework in customer service, communications, fundraising, or related fields is an asset.
Experience Needed:
- Previous experience in reception, customer service, call-based roles, or donor relations is an asset.
- Experience in a not‑for‑profit or ministry environment is an asset.
Technical Skills:
- Proficiency in MS Office (specifically Word, Excel, Outlook).
- Experience with Salesforce (customer service management) and/or Asana (project management) software is an asset.
- Strong verbal communication skills and professional telephone manner.
- Excellent attention to detail and accuracy in data entry.
- Basic organizational and time‑management skills.
- Comfortable spending extended periods communicating via telephone.
- Able to recognize situations that require escalation to senior staff.

- Strong interpersonal skills with the ability to interact respectfully with people from varied backgrounds.
