The Executive Assistant supports the President directly, provides administrative support to the balance of the executive team on a defined allocation, and keeps the Chestermere office running. The role handles confidential material daily (e.g., land and acquisition files, legal correspondence, personnel records) so discretion is a condition of the job. This is a fully in-office position.

Location: Chestermere, Alberta. Golden Homes anticipates relocating its office to the Okotoks or south Calgary area within approximately 18 months.
Hours: Roughly business hours (but flexible), Monday through Friday
Employment type: Full-time, permanent
Compensation: $55,000 – $75,000 annually, plus benefits
Start date: As soon as possible
Allocation of Time
Executive support to the President: 20%
Office management and HR administration: 40%
Shared support —Planning & Development, Sales & Marketing, Housing, CFO: 40%
Key Responsibilities
Executive support to the President
▪ Own and protect the President's calendar; resolve scheduling conflicts without escalating each one.
▪ Prepare agendas and briefing materials, take minutes, and drive action items through to completion.
▪ Draft, proofread and format correspondence, memos, presentations and reports.
▪ Screen and triage calls, emails and requests; resolve or redirect what does not need executive attention.
▪ Coordinate (and book) travel and itineraries; prepare and reconcile expense reports and corporate card statements.
Executive team and project support
▪ Coordinate scheduling across the executive team, including leadership meetings, site visits and cross-departmental sessions.
▪ Maintain confidential executive files — contracts, land and development documents, legal correspondence, HR records — with disciplined version control.
▪ Compile recurring reports and internal updates from inputs supplied across departments.
▪ Support planning and development files: assemble submission packages, track approval and permit timelines, and maintain project documentation.
HR administration
▪ Run onboarding and offboarding: offer paperwork, workspace and equipment setup, access cards, orientation scheduling, and return of company property.
▪ Maintain personnel files and track vacation, time-off and benefits enrolment records.
▪ Post job openings, coordinate interview scheduling and candidate correspondence.
▪ Distribute policies, track acknowledgements, and support the office health and safety program.
Office management
▪ Greet homeowners, trades, suppliers and guests; manage mail, couriers, and the general phone and email accounts.
▪ Order supplies and manage vendor relationships (cleaners, IT, telecom); obtain quotes and flag contract renewals.
▪ Maintain corporate records, the central filing system, and office equipment.
▪ Coordinate company events, staff meetings and catering; process office invoices and expenses with accounting.
Qualifications
▪ Five or more years supporting senior executives, ideally including a President, CEO or owner.
▪ Post-secondary education in business or office administration,
or an equivalent combination of education and experience.
▪ Demonstrated experience handling confidential information.
▪ Advanced Microsoft Office — Outlook, Word, Excel, PowerPoint — and quick to pick up new systems.
▪ Strong written English: polished correspondence with minimal editing.
▪ Valid Alberta driver's licence and reliable transportation.
Assets: residential homebuilding, land development or construction experience; HR administration or payroll exposure; familiarity with BuilderTrend, Jonas Premier or Sage; bookkeeping or accounts payable; event coordination.

▪ Organization — runs several executives' priorities without dropping items, in systems others can follow.
▪ Written communication — correspondence and minutes that go out with little editing, in a tone that fits the audience.
▪ Composure — steady under competing demands and last-minute changes, without transmitting stress to the office.
Working Conditions
▪ In office, Monday through Friday, roughly business hours but with flexibility
▪ Primarily desk-based, with periodic visits to show homes, construction sites and offsite meetings.
▪ Frequent interruptions and shifting priorities are a normal feature of the role.
Pay: $55,000.00-$75,000.00 per year
