Keak builds AI tools that help businesses improve their websites’ conversion rates. Our subsidiary, Cheaper Inference, helps developers and businesses access leading AI models at lower costs through a single API.

We’re looking for a resourceful, organized Executive Assistant & Operations Coordinator to support leadership and team members across both businesses.

Your main objective is to free up the team’s time. You’ll take ownership of administrative work, research, coordination, recurring responsibilities, and practical projects that pull people away from their highest-priority work.

This role is for someone who notices what needs doing, figures out how to get it done, and follows through. You should enjoy learning unfamiliar tools, solving everyday problems, and becoming someone the team can confidently hand work to.

You will

- Take work off the team’s plates. Pick up delegated tasks, clarify the desired outcome, and own them through completion with minimal oversight.
- Find opportunities to help. Identify repetitive work, administrative bottlenecks, and time-consuming tasks you can take over or simplify.
- Support leadership. Manage calendars, coordinate meetings, organize inboxes, draft correspondence, and arrange travel.
- Keep commitments on track. Maintain task lists, monitor deadlines, follow up on outstanding requests, and flag issues early.
- Research and execute. Compare tools and vendors, gather information, prepare clear summaries, and complete a variety of practical projects.
- Handle day-to-day coordination. Organize documents, collect invoices, track expenses and subscriptions, and work with vendors and service providers.
- Support hiring and onboarding. Schedule interviews,



prepare materials, and coordinate onboarding checklists and access requests.
- Improve recurring processes. Create checklists, templates, documentation, and simple automations that save the team time.
- Provide in-person support when needed. Travel for company meetings, events, and other business activities, helping with logistics and execution.

You’ll work with leadership to prioritize requests across the team, make tradeoffs when needed, and focus your effort where it saves the most time.

You’ll be a strong fit if you:

- Have experience in executive assistance, administration, operations, or a similar support role.
- Can turn a loosely defined request into a clear plan and completed work.
- Are comfortable taking on unfamiliar tasks, finding answers independently, and asking thoughtful questions when needed.
- Communicate clearly and provide updates without needing to be chased.
- Have solid organizational skills, attention to detail, and discretion with confidential information.
- Are comfortable using workplace software and AI tools, while checking the accuracy of your work.
- Can manage competing requests and adapt when priorities change.
- Are willing and able to travel as needed.

Experience working with founders, startups, or remote teams is helpful. Curiosity, sound judgment, and reliable follow-through are essential.
