About Us
Southwood Community Association (SCA) is seeking a dependable, hands-on Facility Coordinator to oversee the day-to-day operation, maintenance coordination, inspections, and upkeep of our community hall, grounds, and related facilities.
This role is ideal for an individual who enjoys facility management, property maintenance, vendor coordination, and problem solving. The successful candidate will act as the primary operational contact for building-related matters and help ensure the facility remains safe, functional, and welcoming for renters, community members, volunteers, and our primary tenant, The Learning Tree daycare facility.
Position Summary The Facility Coordinator is an independent contractor responsible for:
- Weekly facility inspections
- Building maintenance and preventative maintenance coordination
- Minor handyman repairs and maintenance
- Vendor and contractor coordination
- Emergency response and property protection
- Facility condition monitoring
- Relationship management with renters and facility users
- Monthly reporting to the Board of Directors
The role generally operates between 7:30 a.m. and 4:30 p.m., Monday through Friday; however, flexibility is required to respond to occasional building emergencies.
Key Responsibilities
Facility Operations & Inspections
- Complete and document weekly facility inspections
- Monitor building condition, safety concerns, cleanliness and security issues
- Maintain maintenance records and inspection logs
- Identify deficiencies and coordinate corrective actions
- Monitor inventories of facility supplies and equipment
Maintenance & Handyman Services
- Perform minor handyman repairs within approved authority and skill level
- Replace or repair minor hardware and fixtures
- Conduct basic facility maintenance tasks
- Coordinate licensed trades and specialty contractors when required
- Track maintenance activities and recommendations
Vendor & Contractor Coordination
- Obtain quotes and coordinate approved work
- Schedule service providers and contractors
- Track warranties, maintenance records and vendor contacts
- Ensure work is completed as expected
Facility Users & Tenant Relations
- Act as the operational facility contact for The Learning Tree daycare
- Coordinate maintenance activities to minimize disruption
- Work collaboratively with the Hall Rental Coordinator and Board
- Assist with renter-related facility issues as required
Emergency Response
- Respond to building emergencies including:
- Alarm activations
- Floods and leaks
- Heating failures
- Power outages
- Security incidents
- Other urgent facility concerns
Compensation
- $25.00 per hour
- Annual compensation review
- Authorized materials reimbursed at cost plus 15%
- Flexible scheduling within operational requirements
Emergency Premium Building emergencies requiring response between:
8:00 p.m. and 7:00 a.m.
will be compensated at 1.5x the regular hourly rate ($37.50/hour).
Qualifications
Preferred qualifications include
- Building operations, facilities management, property maintenance, trades coordination, property management, or related experience
- Experience performing minor handyman repairs
- Experience coordinating contractors and service providers
- Strong organizational and documentation skills
- Ability to work independently and prioritize competing demands
- Strong communication and customer service skills
- Ability to respond calmly during emergencies
Assets
- Previous experience working with community associations, schools, recreation facilities, nonprofit organizations, or commercial properties
- Occupational Health & Safety awareness
- First Aid certification
- Property maintenance or facility management training
