Medical Office Assistant (MOA) / Clinical Administrative Assistant — Permanent Part-Time

Our small, well-established family medicine clinic is seeking an experienced Medical Office Assistant (MOA) / Clinical Administrative Assistant to join our team on a permanent part-time basis.
We are looking for someone who already has a strong foundation in a medical office or clinical healthcare environment and can become comfortable working independently after learning our clinic-specific procedures and workflows.
This is not an entry-level position. Applicants should have at least one of the following:
- Previous experience working as an MOA or medical receptionist/administrator in a physician's office or other clinical healthcare setting;
- A nursing background or other relevant clinical healthcare experience; or
- International medical graduate (IMG) training or comparable medical training/experience.
We are specifically looking for someone interested in a stable, long-term part time position of approximately two days per week. The position is expected to remain part-time for the foreseeable future, although there may be an chance for the role to expand over the longer term (approximately 5–7 years). Applicants should therefore be comfortable with approximately two days per week as their ongoing schedule rather than seeking a transition to full-time employment in the near future. Our clinic consists of two Family Physicians, a part-time nurse, and an experienced Office Manager/MOA who work closely together to provide high-quality, patient-centred care. We have used electronic medical records for over 15 years and currently use Accuro EMR. Our physicians are members of a Family Health Organization (FHO) and the North York Family Health Team (NYFHT), allowing us to provide comprehensive, team-based care to our patients.
This is an important role within a small office. The successful candidate will have excellent spoken and written English, strong organizational skills, careful attention to detail, good judgment, and excellent follow-through. The position involves frequent communication with patients, physicians, pharmacies, specialists, and other healthcare providers, both verbally and in writing.
Training will be provided on our clinic-specific procedures and workflows, but applicants should already be comfortable with the basic expectations and terminology of working in a medical or clinical environment.
Schedule
- Approximately 2 days per week, 8:30 AM–5:00 PM, with Monday and Wednesday preferred
- Flexibility for occasional vacation or illness coverage is an asset
- Occasional evening shifts may be required (approximately 1–2 times per month, until 8:00 PM)
- This is a permanent,
ongoing part-time position
- The role may have the potential to expand over the longer term (approximately 5–7 years), but is expected to remain approximately two days per week for the foreseeable future
Roles and ResponsibilitiesMedical Office Administration and Patient Communication
- Schedule and reschedule patient appointments according to physician and clinic-specific booking guidelines
- Manage schedule changes related to physician vacations, illness, meetings, and urgent patient needs
- Check patients in and ensure demographic and health card information is accurate and up to date
- Respond to patient telephone calls, voicemails, and requests in a timely and professional manner
- Accurately document and communicate patient messages to physicians and other members of the healthcare team
- Recognize potentially urgent patient concerns and appropriately escalate them to the physician or nurse
- Communicate physician-directed messages and test results to patients clearly, accurately, and compassionately
- Process referrals, forms, prescriptions, medical records, incoming electronic faxes, and other clinical correspondence
- Notify patients of specialist appointments and follow up on outstanding administrative items
- Collect payments for uninsured services and track outstanding balances
- Maintain patient confidentiality and professionalism at all times
Clinical Support
- Prepare charts and requisitions for periodic health reviews, preventive care visits, cervical screening appointments, and other scheduled visits
- Escort patients to examination rooms and assist with visit preparation
- Measure and accurately record vital signs in adults, children, and infants as required
- Ensure examination rooms are clean, organized, and appropriately stocked
- Collect, prepare, and process specimens such as urine samples and swabs as required
- Assist physicians and the nurse with other clinical and administrative duties as needed
Required Qualifications Applicants must have a relevant medical or clinical background, including at least one of the following:
- Previous MOA or medical-office experience
- Nursing training or clinical nursing experience
- International medical graduate (IMG) training
- Other comparable medical or clinical training and experience
In addition, the successful candidate will have:
- Excellent spoken and written English
- Strong professional and compassionate telephone communication skills
- Strong computer skills and comfort working with electronic systems
- Excellent organizational skills and attention to detail
- Ability to follow detailed office procedures and scheduling guidelines consistently
- Ability to manage multiple competing priorities while keeping track of outstanding tasks
- Good judgment regarding when a patient concern requires escalation
- Strong follow-through and commitment to completing tasks accurately and promptly
- Reliability, professionalism, initiative, and accountability
- Ability to work independently while communicating effectively within a small team
- A professional and patient-centred approach
Assets
- Previous experience in family medicine or primary care
- Experience using Accuro EMR (or another electronic medical record system)
- Experience scheduling appointments in a medical office
- Experience managing referrals, incoming reports/faxes, prescriptions, forms, and patient messages
- Experience taking and recording vital signs
- Experience communicating with patients in person and by telephone
Other Requirements
- Required to wear a mask when interacting with patients who have infectious symptoms
